What you get to do:
As an Executive Assistant, you will provide top-level assistance, including scheduling appointments, exchanging information with callers, handling correspondence, arranging meetings, assisting the Finance Department with A/P duties, filing, managing annual vehicle tag renewals, and other duties to relieve executives of clerical work and minor administrative and business details, by performing the duties listed below.
Provide sophisticated calendar management for Park President. Prioritize inquiries and requests while troubleshooting conflicts. Make judgements and recommendations to ensure smooth day-to-day engagements.
Prepare documents for meetings including park wide town halls and community events.
Act as a liaison and provide support to the Busch Gardens & Adventure Island Senior Leadership Team.
Arrange and handle all logistics for SLT meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Park President as needed.
Complete a broad variety of administrative tasks including assisting with special projects; designing and producing reports, newsletters, internal communication, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
Work closely with the Guest Communications team to resolve guest concerns and questions on behalf of the Park President.
Serve as the primary point of contact for internal and external guests on all matters pertaining to the Park President, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Park President’s style and organization policy.
Work closely with the Park President to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate Park President and SLT’s needs in advance of meetings, conferences, etc.
Act as the “gatekeeper” providing a bridge for smooth communication between the Park President and staff, maintain credibility, trust, and support with the Senior Leadership Team.
Work with the Senior Leadership Team to coordinate the Park President’s outreach activities. Follow up on contacts made by the Park President to cultivate ongoing relationships.
Manage all aspects of organization’s office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipated future needs.
Provide event management support as requested.
Provide hospitality to all guests and help to create a welcoming environment.
Answer executive phone line and respond to inquiries.
Process and distribute daily mail.
Invest in building long-lasting professional relationships both externally and internally.
Assist the Marketing team with media events, community relations, and special events.
Assist the Finance team with the scheduling, distribution, and planning of monthly forecast meetings.
Print tickets, meal coupons, etc.
Work as a liaison with the A/P department.
Submit utility bills & bills requiring account coding.
Submit immediate need requests / print checks
Research vendor payment issues
Reach out to vendors for missing invoices
Blocked items – research PO’s that are blocked for payment due to receiving issues, pricing, etc.
Boxing daily paperwork
Complete regular Concur audits
Freight research – work with the corporate office to complete research and submit payments
Manage vehicle tag renewals (March, June & December)
Other projects/duties as assigned for the overall benefit of the organization.


What is takes to succeed:
At least 18 years old
High school diploma or equivalent
Previous administrative experience
Able to maintain confidentiality and a high level of discretion
Have excellent written and verbal communication skills including strong proofreading skills
Proficient in Microsoft Office applications, specifically Outlook, Word, Excel, OneNote, Publisher, and PowerPoint
Comfortable learning internal reporting systems


What else is important:
Able to lift, push and pull 25 pounds
Able to work indoors and outdoors in all weather conditions and temperature extremes
Comfortable working around chemicals
Available to work varying shifts or hours based on business needs, i.e. be able to work opening and closing shifts, some weekends
