JOB SUMMARY:
This position provides administrative and secretarial support for Executive Management. In addition to typing, filing and scheduling, performs duties such as executive record keeping, coordination of meetings and conferences, obtaining supplies, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information.
PRIMARY RESPONSIBILITIES:
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for CEO and President.
- Performs desktop publishing (PowerPoint/Excel). Creates and develops visual presentations for the CEO.
- Establishes, develops, maintains and updates filing system for the CEO and President. Retrieves information from files when needed. Establishes, develops, maintains and updates library of trade journals and magazines.
- Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chief officers. Handles confidential and non-routine information and explains policies when necessary.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Coordination of management reports (i.e. Portfolio Management and monthly department manager’s reports).
KNOWLEDGE AND SKILL REQUIREMENTS:
- Possess a proficiency in MS Office products including Word, Excel, PowerPoint and Outlook
- Exceptional interpersonal/communication skills and must be able to interact/communicate with individuals at all levels of the organization including the executive level
- Excellent organizational/prioritization skills
- Extremely accurate with excellent attention to detail
EXPERIENCE AND EDUCATION:
- 5+ years administrative/secretarial experience (some executive administrative experience preferred)
- Salary commensurate with experience
