Full Job Description
GeoPoint Surveying, Inc., a Land Surveying firm, is looking for a responsible Executive Assistant to perform multiple office related functions and be the direct assistant to one of our presidents. Duties include providing support to our Project Managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Responsibilities include, but not limited to answering and directing phone calls, helping with timesheets, updating project list, and providing assistance with any other office task. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a receptionist or administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Executive Assistant should ensure the efficient and smooth day-to-day operation of the office.
Responsibilities:
Assisting the CEO in all tasks
Acting as the point of contact among executives, employees, clients and other external partners
Managing information flow in a timely and accurate manner
Develop and maintain a filing system
Managing executives’ calendars and set up meetings
Maintain contact lists
Make travel and accommodation arrangements
Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
Format information for internal and external communication – memos, emails, presentations, reports
Write contracts and proposals
Maintain confidentiality at all times.
Take minutes during meetings.
Skills:
Work experience as an Executive Assistant, Personal Assistant or similar role
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Excellent MS Office knowledge
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Outstanding organizational and time management skills
High School degree; additional qualification as an Administrative assistant or Executive assistant will be a plus
Job Type: Full-time
Pay: $35,000.00 – $65,000.00 per year
