Full Job Description

Provides high level administrative and personal support to executives at family owned and operated commercial real estate company with the expectation of maintaining utmost confidentiality and records management. This role provides a wide variety of administrative functions: answers telephone, drafts correspondence, coordinates travel for executives, maintains accounts payables, assists with property management and other duties as assigned.

Key Responsibilities:

  • Maintain full accounts payable process
  • Code, enter and process invoices into system
  • Prepare check runs and ACH transactions
  • Answer all vendor inquiries/handle all vendor correspondence via phone/email
  • Perform other duties as required to support accounting department, including, but not limited to, bank reconciliations
  • Assure COI/W-9 on file
  • Prepare all remote capture deposits
  • Post payments by recording cash receipts, ACH and wire transactions in a timely and accurate manner
  • Assist with simple IT issues
  • Assist Property Manager
  • Coordinate executive travel arrangements
  • Assist with payroll
  • Answer multiline phone system and transfer calls as needed
  • Open and distribute incoming mail, and prepare outgoing daily correspondence

Important Skills, Requirements and Traits:

  • Must have valid Bachelor’s degree – or – the combination of a valid high school diploma/GED and substantial relevant work experience.
  • A working knowledge of Microsoft Word, Excel and Outlook required; Yardi or similar real estate software preferred.
  • Able to efficiently and effectively multitask, responding to rapidly changing administrative, telephone and walk in demands.
  • Skilled at record keeping, document maintenance, planning and organizing.
  • Able to effectively communicate with tenants, vendors and contractors in difficult situations, while maintaining professional demeanor.
  • Notary a plus, but not required. Must obtain license within 30 days of hire.
