Full Job Description
Pay Range: $80,000-$90,000
ESSENTIAL DUTIES:
- Requires complex calendar management. Schedules and coordinates meeting, events, interviews, appointments and/or other similar activities, which includes coordinating travel and lodging arrangements for the executive, other members of the organization and/or visitors.
- Complete a broad variety of administrative tasks that facilitate the COO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports prior to the end of each month closing.
- Provide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the COO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
- Anticipate COO’s needs in advance of meetings, conferences, etc. Additionally, conserves the Executive’s time by reading, researching, collecting, and analyzing information as needed, in advance
- Work closely with the COO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the COO updated.
- Coordinate Executive Team meetings and retreats and assist with staff meetings and events as needed. Be responsive to emails/texts/phone calls, with contact outside normal business hours Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the COO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect COO’s style and organization policy.
- \Completes adhoc projects as assigned – such as personal events and/or family needs Could include answering main phone line and respond to inquiries. Also screens incoming telephone calls from both internal and external sources; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff
- 10+ years of administrative experience supporting c-level executives required or equivalent combination of education and experience.
- Bachelor’s degree preferred Ability to function well in a high-paced environment; performs additional duties as assigned by executives
- Advanced proficiency with Microsoft Office suite of products including Word, Excel, Power Point, Outlook, Teams, Yammer, and OneDrive
- Ability to think outside of the box with a sense of urgency Demonstrate ability and temperament to work with sensitive information Business sense – has a strong business sense and can decipher priorities and make sound judgment calls when needed. Commitment to excellence – perform duties at the highest level possible on a consistent basis.
