Description:

We are seeking a detail-oriented Executive Assistant to oversee our daily operations, ensure our business runs efficiently, provide great customer service and run our Compliance Department. Our ideal candidate is independent, self-motivated, and a problem solver with excellent communication skills. Responsibilities:

  • Processing documents to ensure compliance with industry and brokerage standards.
  • Tracking appointments.
  • Answering phones in a pleasant and professional phone demeanor while taking detailed messages.
  • Maintaining, utilizing, and sharing document tracking in spreadsheets.
  • Communicating in a courteous and effective manner with agents, administrative staff, and broker.
  • Tracking the status of files to completion.
  • Handling sensitive financial information.
  • Responding to emails in a professional manner.
  • Using problem-solving skills to resolve any issues that arise.
  • Ability to adapt to the needs of our office and provide assistance where needed.
  • Organizing team meetings and agendas.
  • Tracking incoming mail.
  • Assisting in coordinating office events.
  • Ensuring the office is tidy and prepared for business.
  • Payment and service management.

Qualifications

  • Required: High School Diploma.
  • Preferred: Bachelor’s Degree.
  • Preferred: prior document processing experience.
  • Preferred: prior real estate background.
