Executive Assistant/Office Manager for both CEO & COO
Executive Assistant needed for two partners that own multiple businesses in
Private Equity, Debt Settlement, Real Estate Finance/Hard Money and Development
- $50,000-$65,000 Annual Salary
- Real Estate transactional background Closings/Contracts/Title
- Understanding of Real Estate Related Documents including Title and Mortgage Docs
- Incredibly Well Organized
- Able to follow up on Invoicing and Accounts Receivable
- Proficient in Microsoft Office especially Excel
- Financial background and Proficient in QuickBooks
- Understanding of paperless organization, tech and database management
- Paperless office greatly reduced by digitalization excluding original legal documents
- This position holds opportunities for advancement
Three years of experience in related positions with a minimum of one-year of Executive Assistant experience working with high-level executives is required. A college degree in a business-related field is not required but preferred.
The position is the primary point of contact for all matters pertaining to the COO/CEO. Provides confidential high-level administrative support to Advisory Board. Types drafts, assimilates, and distributes correspondence for COO/CEO. Maintains corporate files and proper filing of all correspondence. Serves as Administrative liaison to the Advisory Board. Communicates directly and on behalf of the COO/CEO.
A significant level of trust and diplomacy and the ability to build relationships with investors are required for the position. Must be highly professional and possess the ability to conduct In-depth dialogues, conversations, and explanations with customers, all levels of associates, and outside contacts. Communications may be of a sensitive and/or highly confidential nature and is a normal part of the day to day experience. Communications can involve motivating, influencing, educating, and/or advising others on matters of significance.
Required skills include strong attention to detail and extensive administrative background. Excellent multi-tasking to include strong organizational skills with the ability to independently prioritize multiple tasks. Follow through, dependability and problem-solving skills are a must. Must have the ability to work independently in a deadline-driven environment. The ideal candidate must possess excellent written and verbal communication skills with proficiency in Microsoft Excel, Word, and PowerPoint and a thorough understanding/familiarity of QuickBooks.
