Full Job Description
Duties/Responsibilities:
- Provides direct support to the Division President in assistance in calendar management, communication to departments, and special projects as assigned
- Maintains filing systems as assigned
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed
· May conduct research to assist with projects or inquiries
- Responds to and resolves administrative inquiries and questions
- Records and distributes minutes or other records for meetings when needed
- Maintains office supplies and coordinates maintenance of office equipment
- Responsible for distribution of correspondence, and the processing, tracking, and payment of invoices
- Reconciliation of credit card statements
- Responsible for the planning and execution of office/department events
- Assists with onboarding and conducting New-Hire Orientation for the Tampa Division
- Liaison between Tampa Division and Corporate Human Resources; responsible for answering and assisting with general HR questions and escalating when necessary
- Will be cross trained across all division departments to provide support in the case of an absence or business need
- Performs other related duties as assigned
Position Requirements:
- Detail-oriented and professional
- Exceptional organizational and communication skills
- Basic understanding of office equipment
- Basic understanding of clerical procedures and systems such as recordkeeping, filing, and invoicing
- Ability to work independently and reliably, and maintain a high level of confidentiality when working with sensitive subjects
- Flexible and adaptable in various situations and when working on different types of projects
- Ability to organize and prioritize tasks including delegation of tasks when appropriate
Education and Experience:
- Associates degree required, Bachelor’s degree in related field preferred
- Three to five years of experience in a related role required with some supervisory experience preferred
- Advanced proficiency with Microsoft Office Suite, specifically in Word, Excel, Outlook, and Power Point
