Executive Assistant
On behalf of our client in the Financial Services Sector, PROCOM is looking for an Executive Assistant.
Executive Assistant – Job Description
- Directly supports multiple Managing Directors, including primary support for the Global Head
- Manages day-to-day calendars of multiple MDs, including scheduling for department-wide meetings such as Town Halls and Fireside Chats
- Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls and conference rooms
- Coordinates travel arrangements; prepares and distribute schedules/agendas for travel
- Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system – Pre approves all expense reports submitted to Managing Director to assure they are within policy
- Works closely with COO function
- Onboarding of new employees with regards to equipment requests, space and accommodations
- Obtains building and floor access for staff in various locations
- Manages supply and equipment orders through P2P and Marketplace
- Processes and follow-ups on Virtual Requests
- Assists in ad-hoc reports special projects and meetings as needed
- Develops and maintains close working relationships
- Responsible for raising, investigating, and following up on issues as needed
- Ability to operate with a limited level of direct supervision
Executive Assistant – Mandatory Skills
- Seasoned Executive Assistant who has previously reported senior managers in this capacity
- 5-10 years of experience in related roles
- Ability to operate flexibility and deliver under tight timelines
- Good team player and excellent work ethic
- Strong communication, organizational & interpersonal skills
