Marcus & Millichap, the nation’s leading commercial real estate investment company is seeking an Executive Assistant / Research Specialist for their Tampa office. This is an advanced-level administrative and research / analyst position for a team of highly successful and progressive agents, providing a broad range of executive, administrative and research support. Responsible for various administrative, executive and research tasks related to commercial real estate brokerage as well as extensive database responsibilities. Previous commercial real estate experience is preferred, but not required.
The ideal candidate will not only possess excellent administrative skills, but also bring ‘added value’ to the team with talents in organization, communication and technology. Must possess a can-do and will-do attitude no matter what it takes and possess and demonstrate critical thinking on how facets and processes can be achieved most effectively and how they can be improved.

Duties and Responsibilities:
- Enter all offers & all leads from all public websites and agent collections into Software Management
- Create reports and weekly mailers
- Weekly mail merges into formal templates
- Mail merge new listings & meeting invitations to trade show prospects
- Proper inquiry correspondence
- Create offer summaries
- Tabulate and update statistics & metrics gathered from all sources
- Significant data entry
- Printing, copying and binding custom marketing packages
- Organize and pick up components from local vendors
- Creating assortment of reports
- Order and send client gifts
- Create itineraries for travel and trade shows
- Verify, enter and submit various broker reports
- Organize, compile, submit and oversee production, organization and completion of a multitude of physical marketing information
- Locate, execute, organize, populate & execute Out of Jurisdiction Documentation
- Execute research assignments and enter into database software program
- Create and research local market rent studies
- Research comparables in multiple sale categories
- Land research
- Execute operator and market research
- Research foundation product type principals
- Research new development projects
- Create email and mail merge lists
- Research agent targeted markets / product types and ownerships
- Research, locate and file Public record information
- Record & track listings and create charts
- Authoring marketing collateral and press releases
- Manage and update contact on social networking feeds
Job Requirements
- Must be organized, detail oriented and an exceptional time manager
- Ability to prioritize critical tasks and work well in a deadline driven atmosphere
- Must be versatile and flexible in making last minute adjustments to work requests
- Ability to communicate extremely well with both internal and external clientele and vendors
- Possess a strong desire to learn new concepts and master new software applications
- Strong work ethic, verbally articulate and detail-oriented
- Strong writing and editing skills, i.e., spelling, grammar, punctuation
- Possess excellent mathematical skills
- Type 50+ WPM
- Advanced software and web program expertise
- Ability to create spreadsheets and advanced Excel programs
- Ability to expeditiously navigate websites and compile and structure data and information
- Expert-level in Excel, PowerPoint, Word and PDF editor
- Ability to quickly learn new Commercial real Estate software programs
- Ability to collect filter and synthesize data, intel and information
