Position Summary
We are actively seeking an Executive Assistant who will support our Senior Leadership. Our continued growth has revealed the need for this dedicated role. This role will be responsible for effective management of schedules and organizing communications for our C Suite executives. The responsibilities would include but are not limited to prioritizing emails, phone calls while managing schedules, preparing agendas and documents for meetings, assisting with travel arrangements, and other ancillary tasks. The ideal candidate will aspire to elevate the role to include managing internal projects, identifying areas for improvement in the internal workflow of the management team, and marketing internal initiatives as they fall within our top priorities. The ideal candidate will aspire to become integral to the execution of key initiatives by maintaining stakeholder focus on top priorities while enabling the daily and weekly needs of the team are also addressed.
Primary Roles and Responsibilities
· Providing administrative assistance, such as creating and editing communications on the executive’s behalf
· Maintaining comprehensive and accurate records
· Performing minor accounting duties
· Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
· Arranging for internal team meetings as well as parent company and key customer/vendor meetings in Monterey, Tampa, and Houston
· Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters, ensuring executives have properly dedicated schedules for upcoming corporate deadlines
· Tracking internal continuous improvement initiatives and eliciting reporting from stakeholders
· Publishing monthly and quarterly reports on team activities, internal projects, and other recurring topics
Knowledge, Skills, and Experience
· Associate degree in business, preferred
· 3 – 5 years of applicable experience
· A combination of experience and education would also be considered
· Effective time management and ability to meet deadlines
· Strong verbal and written communication skills
· Excellent organizational skills
· Ability to complete multiple tasks simultaneously
· Problem-solving and concise decision making
· Proactive and self-direction with ability to work independently
· Interpersonal skills with a strong EQ
· Topnotch time management skills
· Highly efficient in Microsoft Suite
Minimum Requirements
