We are looking for an Executive Assistant to perform a variety of administrative and support our company’s senior-level managers. The Executive Assistant will report directly to the General Manager, Director of Sales and Regional Sales Managers. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

Responsibilities:

  • Develop a full working knowledge of all CRM platforms including Delphi and Opera
  • Answer and qualify all incoming phone calls and electronic RFPs
  • Track all Direct Bill applications for all sales account for all properties, where applicable.
  • Assist with creating documentation such as contracts, proposals etc.
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Work with group blocks and reservations when needed.
  • Turn all signed contracts over to the Events Department for all properties.
  • Answer phones promptly and professionally. Manage information flow in a timely and accurate manner.
  • Order any new office supplies and replenish inventory as needed.
  • Complete Site Tour Alerts and distribute to proper team members for all properties.
  • Print daily reports as required for all properties.
  • Conduct file and / or Delphi audits for form of payments, signed agreements, food and beverage minimums, etc. for all properties
  • Input data into spreadsheets and / or Delphi.
  • As needed, load groups into Delphi and merge contracts.
  • Audit Working Files for payments, signatures, and other SOP items.
  • Other administrative tasks as assigned.
  • Assist with in house events or special events as needed.
  • Take minutes during meetings
  • Manage executives’ calendars and set up meetings
  • Discretion and confidentiality

Qualifications:

  • Exceptional interpersonal skills
  • Must have a minimum of one year experience in the hospitality industry
  • Degree in Hospitality Management or related field preferred
  • Must possess excellent written and verbal communication skills
  • Must possess strong computer skills; prefer knowledge in Infor (HMS), Delphi, Excel.
  • Must demonstrate a general understanding of hotel operations and ability to grasp revenue concepts.
  • Must be well organized and able to manage multiple tasks at once.
  • Must work well with a variety of individuals.
  • Must be punctual and dependable.
  • Must be able to sand up to 8 hours a day if needed.
