GENERAL DESCRIPTION OF POSITION
To act as Executive Assistant for the President of the SBA & USDA Dept. Primary functions include order marketing materials (working with the Marketing Dept), travel & calendar, building maintenance, schedule/set up/attend charity & golf events and networking/social events, schedule Department/staff training sessions/Dept meetings & holiday parties, Administrative Assistant (LOA) to SBA & USDA Loan Officers (SBALO), performing lien searches, work with each Region (Market President/CLO/Loan Officers) to assist with scheduling Centennial/SBA Sponsored events and marketing materials management (SBA & USDA Programs brochures).
1. Completes required BSA/AML training and other compliance training as assigned.
2. Maintain Marketing Materials – ordering and shipping to events (work directly with Marketing Dept).
3. Building Maintenance – contact vendors for repairs and maintenance of the Dept.
4. Schedule and maintain logs/report of Dept/staff training (NAGGL, NADCO).
5. Scheduling Conferences, networking events, golf tournaments, charity events, etc and order materials (give a ways).
6. Attend and set up booths for golf tournaments, expos, networking events & conferences (some travel required).
7. Request invoices from vendors and request “vendor forms” to submit to A/P to remit payment.
8. Maintain calendar for Dept Pres/Mgr. and SBALO and schedule travel (flights/hotels/restaurant reservations).
9. Track expenses/receipts and upload into Banktel (for Dept Pres/Mgr & SBA LO).
10. Perform lien searches for SBALO & SBA Packagers, as needed; look up customer accounts in Bankway & nCino.
11. Schedule Dept meetings/parties & order food/refreshments.
12. Schedule Regional SBA/USDA training sessions & prepare materials/hand outs.
