The Executive Assistant provides high level executive and administrative support to CenterWell‘s President.
Responsibilities
The Executive Assistant role assumes ownership and leads advanced and highly specialized support duties that require independent initiative and judgment. The incumbent handles scheduling, administrative functions, record management, travel, department purchase orders and invoices, drafting and editing of presentations, and highly confidential issues and matters of sensitive nature. Additionally, the incumbent independently manages multiple tasks and projects with competing priorities and deadlines, screens and prioritizes communications from internal and external sources, anticipates the needs of the leadership team and key partners, and acts accordingly.
Key Responsibilities include, but are not limited to:
- Communicate via telephone, digitally and in person to internal and external stakeholders, partners, providers, and corporate and community leaders
- Perform at a high-intensity pace, juggling multiple projects with a positive attitude while producing a quality work product
- Manage and maintain calendars/schedules
- Use sound judgment to prioritize meetings
- Organize and manage all details related to arranging business meetings (onsite/offsite logistics, working with other affected areas’ designees, catering, remote access, communication, etc.)
- Assist leadership team with presentations, responses to requests, reports, agendas and meeting materials
- Act with tact and diplomacy when responding to any individual/group, whether internally or externally
- Maintain and manage travel schedules (scheduling appointments, making travel arrangements, etc.)
- Manage self and prioritize work with judgment, tact, and emotional intelligence
- Maintain office files, records, and filing systems as appropriate
- Determine proper course of action for incoming requests, calls and correspondence, directing to appropriate person or operational area
- Maintain strict confidentiality
- Anticipate needs before they happen and take initiative to eliminate any potential bottlenecks which may arise
- Handle executive floor’s audio/visual needs
- Effectively collaborate with our team of Executive Assistants
Required Qualifications
- 6 or more years of experience supporting a senior level executive in a large and complex organization
- Ability to work independently and effectively in a fast-paced environment, think on your feet, remain calm under pressure, and anticipate needs in advance
- Excellent verbal and written communication skills
- Strong attention to detail
- Ability to manage many details related to calendaring/scheduling, follow-up requests, travel-related planning, etc. simultaneously with low rate of error
- Strong proficiency in Microsoft Office applications Word, PowerPoint, Excel and Outlook
- Professional executive presence with the ability to build strong working relationships with people both internally and externally
- Demonstrated emotional intelligence and the ability to manage self around others and in difficult situations, remaining in control and professional at all times
- Strong organization skills with the ability to balance multiple initiatives under short timelines and prioritize workload
- Outgoing and energetic personality with a solid comfort level in an executive corporate environment
- Forward-thinking ability with a willingness to be pro-active and expect the unexpected
- Ability to retain confidentiality at all times
Preferred Qualifications
- Associate’s or Bachelor’s Degree
- Certified Administrative Assistant (CAA) certification
Additional Information
- Reports to CenterWell’s President
- Prefer incumbent be located in Humana’s Arlington, VA office, but consideration will be given to candidates anywhere across the US
- Incumbent will be expected to work in the office on all days that the CenterWell President is in the incumbent’s home city
- Work-At-Home Requirements: To ensure Home or Hybrid Home/Office associates’ ability to work effectively, the self-provided internet service of Home or Hybrid Home/Office associates must meet the following criteria: At minimum, a download speed of 25 Mbps and an upload speed of 10 Mbps is recommended; wireless, wired cable or DSL connection is suggested; Satellite, cellular and microwave connection can be used only if approved by leadership; Associates who live and work from Home in the state of California, Illinois, Montana, or South Dakota will be provided a bi-weekly payment for their internet expense; Humana will provide Home or Hybrid Home/Office associates with telephone equipment appropriate to meet the business requirements for their position/job; Work from a dedicated space lacking ongoing interruptions to protect member PHI / HIPAA information
