Full Job Description
The Executive Assistant is responsible for providing advanced level administrative support to the Executive staff in a fast paced, demanding environment, with tight deadlines, multiple projects, and often extensive hours. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. This individual MUST have experience supporting C-level executives (CEO, CFO, COO, President or Owner).
We are looking for a very positive, outgoing, professional Executive Assistant. You will assist the CEO & owner with both business and personal items as well as assist in other areas of the business as needed, such as operations, marketing, Sales, etc. Please note that this position is not only focused on screening incoming phone calls, scheduling travel, and managing a calendar. It is much more than that!
This position is very multi-faceted and will be filled by someone that meets the following:
- Willing to do whatever it takes to complete the job for a of busy executive. Must be comfortable working on both business and personal items (from managing personal calendars, to scheduling appointments, vacations, home/car repair, to holiday shopping, running errands, etc.) to sitting in on management meetings and taking meeting minutes, distributing those minutes and following up with staff to ensure items are completed, to participate in various marketing and sales support functions and must be comfortable running errands as needed.
- Must be computer savvy – Word, Excel, Outlook, CRM software.
- Must be well organized – able to keep themselves organized as well as the Executive.
- Must be able to multi-task while still staying focused on all priorities at hand.
- Generate expense reports and reconcile corporate credit card changes to ensure timely and accurate reimbursement and verify payments to corporate credit cards and accounting system.
- Process incoming and outgoing communication and correspondence to ensure proper dissemination of information.
- Create and update records and databases with personnel, financial and other data
- Perform other duties as assigned.
Requirements:
- Associates Degree or related business degree or equivalent combination of education, experience, and training.
- 3-5 years of experience as an Executive Administrative Assistant supporting C-level executives (CEO, CFO, COO, President or Owner).
- Advanced Microsoft Office skills, 45wpm, with an ability to become familiar with company-specific programs and software
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Must be flexible with schedule and be willing to work occasionally on Saturdays.
