We are searching for an Executive Assistant to the CEO. with matters of the utmost importance. The ideal candidate must handle matters of the utmost importance with speed and confidentiality both externally and internally. This individual must excel in a fast-paced, high-pressure environment and will be able to anticipate the needs of the CEO and other high-level executives. This individual must be able to travel domestically and internationally with short notice, potentially up to multiple times per month for periods of up to a week at a time. This individual must enjoy a combination of senior EA and PA duties.
Responsibilities include:
- Anticipate and proactively oversee extremely intricate scheduling logistics for the CEO (business and personal) and critical internal and external stakeholders, to ensure 100% seamless transitions between both in-person and virtual meetings.
- Maintain professionalism and strict confidentiality with all materials, written and verbal.
- Book business and personal travel and reconcile expenses.
- Create high level presentations on behalf of the CEO.
- Ensure all internal reporting into the CEO is properly formatted for the needs of the CEO and meets all timing requirements as set by the CEO.
- Plan and orchestrate work to ensure that the senior executives’ priorities are met, organizational goals achieved, and best practices are upheld, with emphasis on the CEO.
- Organize team communications and events, both internal and off-site.
- Organize and oversee CEO inbox in real time and calendar, to ensure that high priority items are constantly flagged, and inbox is organized and cleaned out, to ensure easy maneuvering. Ensure effective communication of the CEO’s schedules to the executive team.
- Engage effectively and respectfully with Board members, bankers, investors and or their EAs to ensure continuous schedule alignment between CEO and important individuals.
- Communicate with external stakeholders on behalf of the executive team (Board members, elected officials, bankers, investors, regulators, potential partners, etc.)
- Perform some personal errands for C-level executives (as required), track and respond to all correspondence in a timely manner with a particular emphasis on reviewing emails, organizing by priority, and responding appropriately.
- Answer phones, screen, and document incoming calls.
- Act as a self-starter by taking initiative even when there are no defined answers.
- Send correspondence, follow up with meetings notes or directives.
- Provide elevated administrative and logistical support for key team meetings.
- Collect and prepare information for the use in presentations/meetings of executive staff, other employees, and non-company individuals.
- Special projects as assigned.
Skills and Abilities:
- Ten years plus (10+) years of experience providing high level EA/PA and administrative support in a senior executive environment.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects simultaneously.
- Flexible team player, willing to adapt to change and unafraid of challenges.
- Ability to summarize financial, operational, and M&A reports.
- Experience with Stock price analysis a plus.
- Ability to follow instructions clearly and accurately in a timely fashion.
- Proactive and enthusiastic about delivering positive results.
- Previous financial experience a must.
- Ability to take accurate dictation and detailed notes in meetings a must.
- Interface with bankers and investors for scheduling and information transfer.
- Available to travel up to weekly with CEO to different locations to provide on-site aid for the CEO
- Regarding travel: could be at moment’s notice requiring to be out of town for up to a week. Potential international travel required.
- Managed calendar, inbox and correspondence for a high-net-worth CEO.
- Must handle confidential material with discretion, even with internal staff.
- Significant customer service experience, utilizing strong collaborative and inter-personal skills.
- Experience in live event business.
- Must be able to prioritize work assignments and be detail oriented.
- Thorough knowledge of technical and business vocabulary.
- Considerable experience managing multiple and high-level priorities simultaneously.
- Mastery of all office systems skills; particularly in Excel and PowerPoint. Experience with executive level support with emphasis in dealing with all levels of staff and VIP customers.
- Excellent written and verbal professional communication, grammar, and interpersonal skills, including the ability to handle sensitive and confidential matters with excellent professional judgment and to adapt personal style to varied audiences.
