Executive Assistant to the CAFO (Full-Time) – Straz Center for the Performing Arts

The Straz Center is seeking a candidate to join our Administration and Finance team who has a passion for advancing the arts and embraces the Straz Center’s mission and commitment to diversity, equity and inclusion initiatives.
Located in downtown Tampa, the Straz offers a team-based work environment and a full package of benefits for full-time staff including options for health/dental, vision, etc., plus a generous 403(b) plan.
Position is responsible for performing comprehensive administrative, basic accounting and financial reporting as well as related Board Committee support for the CAFO and Finance Department staff; also similar support for the Director of HR, Vice President of IT, CEO, and Executive Team, as needed.
Primary Duties and Responsibilities:

  • Assists in scheduling, preparation of meeting materials and logistical coordination for CAFO, professional staff, Executive Team and related Board Committees.
  • Coordinates the distribution of the annual Governance Package to Board members and Executive management.
  • Communicates with Board Members and professional advisors, as requested.
  • Oversees tracking schedule and submission of annual corporate compliance reporting, filings, and registrations.
  • Assists the CAFO with preparation and filing of legal contracts and documents.
  • Serves as organization’s DocuSign Administrator; Prepares, submits and collects e-signatures (DocuSign) for documentation
  • Assists Finance Team with fiscal year-end audit and tax return preparation.
  • Processes requests for security passes and parking arrangements for Administration and Finance visitors.
  • Arranges and coordinates travel schedules and reservations for CAFO and department. Manages CAFO corporate Purchasing Card (PCard) reporting.
  • Maintains the Finance Team Sharepoint Intranet page; performs quarterly reviews and changes for any applicable updates.
  • Contributes to overall team effort in planning and development and shares in decision-making process, implementing, and promoting all decisions in a spirit of cooperation.
  • Serves as back up to Executive Administration support teams as needed.
  • Performs other duties and responsibilities as directed within the department

Minimum Qualifications (Knowledge, Skills, and Abilities):

  • Must exercise diplomacy in all communications.
  • Must have received or be willing to receive the COVID-19 vaccine by date of hire to be considered for employment.
  • Must be willing and available to work on-site(vs. remote work).
  • Strong communication skills (both verbal and written).
  • Mathematical Skills.
  • Reasoning Ability:
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work within established guidelines with little direct supervision.
  • Computer Skills:
  • Strong computer software navigational skills
  • General understanding of integrated business and payroll applications.
  • Strong competency with all Microsoft Office applications in using the Office 365 environment and Advanced Adobe Acrobat programs.
  • Knowledge of desktop publishing programs and database management preferred.
  • Other skills:
  • Ability to organize and prioritize in a fast paced continually changing environment.
  • Ability to manage own priorities and resolve conflicting priorities within the department on a timely manner.
  • Ability to exhibit flexibility on workload and priorities, as needed.
  • Strong multitasking and organizational skills.
  • Strong customer service skills including experience in interacting with Board Members and volunteers.

Education and Work Experience:

  • Associates Degree in Business or Accounting and 3 years related experience; or 5 years related experience and/or training; or equivalent combination of education and experience.
  • Must have business support experience involving contact with the public.
