Position Overview:
We are seeking a highly organized and proactive Executive Assistant to support our CEO and CFO. The ideal candidate will be a self-starter with exceptional communication skills and keen attention to detail. This role requires the ability to handle multiple tasks efficiently in a fast-paced, technology-driven environment.
Key Responsibilities
- Executive Support
- Provide comprehensive administrative support to the CEO and CFO.
- Manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Prepare, edit, and format reports, presentations, and correspondence.
- Meeting Coordination
- Organize executive meetings, including agenda preparation, material compilation, and minute-taking.
- Coordinate with internal teams to ensure timely follow-up on action items.
- Communication Liaison
- Act as the primary point of contact between executives and internal/external stakeholders.
- Screen and prioritize emails, phone calls, and other communications.
- Draft and manage communications on behalf of the CEO and CFO.
- Project Management
- Assist in special projects, research initiatives, and data analysis as required.
- Collaborate with various departments to facilitate cross-functional projects.
- Confidentiality and Compliance
- Handle sensitive information with utmost discretion and maintain confidentiality.
- Ensure compliance with company policies and industry regulations.
- Office Management
- Oversee administrative tasks related to the executive office.
- Manage expense reports, budgeting, and invoice processing for the executive team.
Qualifications
- Education & Experience
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum of 5 years of experience as an Executive Assistant supporting C-level executives.
- Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with collaboration tools (e.g., Microsoft Teams, Zoom) and CRM systems.
- Experience in the technology or IT services industry is a plus.
