Position Overview:

We are seeking a highly organized and proactive Executive Assistant to support our CEO and CFO. The ideal candidate will be a self-starter with exceptional communication skills and keen attention to detail. This role requires the ability to handle multiple tasks efficiently in a fast-paced, technology-driven environment.

Key Responsibilities

  • Executive Support
    • Provide comprehensive administrative support to the CEO and CFO.
    • Manage complex calendars, schedule meetings, and coordinate travel arrangements.
    • Prepare, edit, and format reports, presentations, and correspondence.
  • Meeting Coordination
    • Organize executive meetings, including agenda preparation, material compilation, and minute-taking.
    • Coordinate with internal teams to ensure timely follow-up on action items.
  • Communication Liaison
    • Act as the primary point of contact between executives and internal/external stakeholders.
    • Screen and prioritize emails, phone calls, and other communications.
    • Draft and manage communications on behalf of the CEO and CFO.
  • Project Management
    • Assist in special projects, research initiatives, and data analysis as required.
    • Collaborate with various departments to facilitate cross-functional projects.
  • Confidentiality and Compliance
    • Handle sensitive information with utmost discretion and maintain confidentiality.
    • Ensure compliance with company policies and industry regulations.
  • Office Management
    • Oversee administrative tasks related to the executive office.
    • Manage expense reports, budgeting, and invoice processing for the executive team.

Qualifications

  • Education & Experience
    • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
    • Minimum of 5 years of experience as an Executive Assistant supporting C-level executives.
  • Technical Skills
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with collaboration tools (e.g., Microsoft Teams, Zoom) and CRM systems.
    • Experience in the technology or IT services industry is a plus.
  • Soft Skills
    • Exceptional organizational and time-management abilities.
    • Strong verbal and written communication skills.
    • High level of integrity and ability to maintain confidentiality.
