The Executive Assistant to the Chief Development Officer (CDO) reports directly to the CDO and has a close working relationship with the President and CEO on all board-related activities. This dynamic position is focused on the support, management, and long-term development of the Straz Center’s volunteer boards, which requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and great discernment.
The Executive Assistant works with staff and board leadership to coordinate and implement a strategic board development plan, which includes identifying future board members and ensuring on-going engagement of current board members. This position coordinates the board recruitment and orientation process and performs high-level administrative tasks related to the board, including effective management of the organization’s governance documents.

Essential Functions:
- Supports the Chief Development Officer with respect to scheduling and coordination of meetings and related logistics, special projects, and other administrative matters.
- Assists in scheduling and preparation of meeting materials for Board Governance Committee, Development Committee, Center Board and Foundation board meetings.
- Supports the work of the President’s Office, the Development Department and Community Engagement Department in matters pertaining to board development efforts. Supports the Board Chair, Officers and Board Committee leadership.
- Supports on-going efforts to build and maintain strong relationships with board members.
- Coordinates the work of the Governance Committee, working closely with the CEO and CDO of Development to identify, recruit and cultivate board candidates and coordinate tasks related to board governance. Maintains annual board governance calendar of activities.
- Oversees scheduling, records management, meeting agendas, minutes, and administrative reporting for the Board Governance committee.
- Facilitates on-boarding and off-boarding of board members.
- Coordinates annual review of committee member selection process.
- Maintains master records of committee members and committee charters and ensures all work is well-documented and appropriately approved and archived.
- Conducts regular assessment and analysis of board involvement and activities. Coordinates annual board member self-evaluation process.
- Develops and implements a board communications action plan, including drafting internal and external board communications with a focus on consistency and frequency.
- Serves as an internal resource for all board-related matters.
- Manages special projects and initiatives, working across Straz Center departments to secure resources and expertise necessary to meet project objectives.
Other:
- Manages department expenses and assists in monthly reconciliation.
- Orders and maintains supplies for Development department.
- Serves as back-up for Executive Administration, as needed and feasible.
- Contributes to overall team effort in planning and development and shares in decision-making process, implementing and promoting all decisions in a spirit of cooperation.

Minimum Qualifications:
- Exceptional interpersonal communications skills and ability to interact with different personalities effectively and diplomatically.
- Outstanding planning, project management and logistical skills.
- Strong writing and proofreading skills.
- Able to synthesize complex information and communicate to a diverse set of stakeholders.
- Skilled in handling sensitive information and confidential matters with discretion, diplomacy, and tact.
- Able to set and maintain priorities amidst fluctuating workload and dynamic circumstances.
- Employs good judgment, has impeccable discretion above all else, and respects and maintains confidentiality.
- Able to work collaboratively and in an energetic and changing environment.
- Strong working knowledge of Microsoft Office suite required. Familiarity with CRM software (Tessitura, Prospect 2) preferred.
- Enthusiasm for and commitment to the arts a plus.
- Available to work select evenings and weekends.
Education and Work Experience:
- Associates Degree required in business management, communications, arts management, or related field.
- Minimum 5 years’ experience in project management, board relations, and/or operations management required. Development experience or work with a non-profit organization preferred.
