The Role You’ll Play to Create Success

We are happy to announce a full-time position, Executive Assistant to the President! In this role, you will have the opportunity to impact the FrankCrum business everyday by providing advanced administrative support to an executive-level position. This position oversees and manages the projects, events, and procedures as assigned.

  • Oversees all aspects of general office coordination.
  • Compiles appropriate data, evaluates, researches, and prepares reports for management review on a weekly, monthly, and quarterly basis, or as needed.
  • Plans department and company functions as well as organizes and creates agendas for quarterly management meetings.
  • Makes travel arrangements.
  • Updates and maintains information in software databases.
  • Works on a wide variety of special projects such as the revision or creation of new forms and spreadsheets. Supports staff in assigned project-based work.
  • Organizes and maintains filing system. Files and retrieves documents, records, and reports.
  • Manages inventory and daily supplies for the department within budget.
  • Analyzes and recommends improvements with processes and procedures, as well as creates and maintains policy and procedure documents.
  • Arranges for office equipment repair and maintenance with the appropriate department.
  • Manages calendar and schedules business and personal appointments.
  • Screens incoming calls and correspondence and responds independently and involves the President only when necessary.
  • In the executive’s absence, ensure that requests for action or information are relayed to the appropriate staff member.
  • Organizes programs, events, meetings, or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Prepares agendas, notices, minutes, and resolutions for corporate meetings.
  • Takes and transcribes dictation and composes and prepares confidential correspondence, reports, and other complex documents.
  • Types memos, purchase requisitions, payment requests and other department forms and documents.
  • Performs various functions upon request of the Crum family and other management team members.
  • Attends meetings with or on behalf of the executive, takes notes, and provides summaries.
  • Act as a liaison between the executive and their direct reports or external stakeholders.

The Attributes We Seek

Keys to success in this position include having five (5) years of executive administrative experience, that demonstrates a strong knowledge of the principles of office management and organization. Bachelor’s degree or equivalent experience and valid Florida driver’s license is required.
