Executive Legal Assistant- Commercial Real Estate
COMPANY OVERVIEW:
Stoneweg U.S. LLC, one of the nation’s fastest growing multifamily real estate investment and development companies, is currently seeking an Executive Legal Assistant. Stoneweg U.S. serves as the exclusive investment manager of Varia US Properties AG, a Switzerland-based, publicly traded real estate fund (SIX Swiss Exchange ticker symbol: VARN) and also partners with U.S. and international equity investors to acquire, improve and develop multifamily assets in U.S. domestic markets with strong population growth and positive trending economic conditions. The Stoneweg U.S. team challenges the conventions of real estate investment through a research-driven, results-oriented approach that has led to the successful deployment of over $380 million of equity and the acquisition of over 12,000 multifamily units since the company’s founding in 2016. POSITION:
Based in St. Petersburg, Florida, the Executive Legal Assistant will work closely with the company’s Legal team to help organize, administer, and assist with all aspects of multifamily transactions including acquisitions, dispositions, development and financing.
The Executive Legal Assistant will also interface with other company departments including Asset Management, Acquisitions, Development, and Human Resources.
The ideal candidate will be an energetic, enthusiastic, and collaborative team-player who takes a hands-on approach to all tasks and has meticulous attention to detail. The ideal candidate will also have experience in either the commercial, residential, or corporate real estate industry and be comfortable working in a fast-paced environment with shifting priorities and deadlines. This will be an exciting role with an opportunity to assume additional responsibilities as the company expands.
RESPONSIBILITIES:
- Provide administrative support to the Company’s Chief Legal Officer and Associate General Counsel to assist with various aspects of acquisition closings, disposition closings and development deals.
- Obtain, proof-read, organize and upload to the company’s document management system material documents and jurisdictional filings in support of all active transactions.
- Consistently monitor critical dates associated with all transactions and communicate to all related departments.
- Serve as key liaison between the Legal team and all departments within the organization, as well as key third party partners such as outside Legal Counsel, Insurance Agents, Property Management Companies, Agency of Record, and other affiliates that frequently interact with the Legal team to facilitate requests, and ensure deadlines are managed effectively.
- Schedule recurring and individual meetings and manage calendars, as necessary.
- Prepare legal reports, and assist with legal invoice tracking.
- Maintain filing of all legal documentation related to investors and subscribers of any Stoneweg US Funds.
- Work on various ad-hoc projects related to primary transactions (acquisitions, dispositions, and development) and other initiatives as necessary.
- Manage additional administrative tasks as necessary.
REQUIREMENTS:
- 5+ years of experience as an Executive Legal Assistant or Legal Assistant
- Experience in the real estate or investment service industries is strongly preferred
- Bachelor’s degree required
- Excellent organizational skills with an acute attention to details and nuances
- Proficiency in Microsoft Office Suite with special focus on Excel, Outlook and Word
- Exceptional communication skills—both written and verbal
- Ability to successfully manage multiple projects from inception to completion within required scope and deadlines
- Strong customer service skills, experience with sophisticated investors and professionals preferred
- Ability to efficiently work within team settings but equally capable of working independently
- Demonstrate competency for problem-solving and proactively seeking out solutions to potential office and administrative challenges
