Are your organized, detail oriented, love checklists and keeping systems in place? We are a real estate team that transacts around 100 deals each year, we are looking for an Executive Operations Coordinator with residential real estate experience (and license) to join our team immediately.
This position is ideal for someone who started in the real estate industry as an agent, but wants to focus more on the admin side, or for someone who previously worked on a RE team. This person will help our team grow by implementing and improving our current proprietary systems, manage our team, deal flow, and prospecting systems. We will provide some training, but are looking for someone to hop in and get the ball rolling.
RESPONSIBILITIES:
- Build, implement, improve all systems for sellers, buyers, lead generation, database management, and back-office support. Create and maintain an operations manual that documents all systems and standards
- Oversee all applications and contracts from the agreement till offer accepted.
- Be the first point of contact in handling customer inquiries or complaints, as well as buyers and sellers.
- Lead the mission and vision of the team
- Hire, train, manage, coach team members
- Lead tracking and follow up
- Oversee all aspects of the listing coordination for all agents. This will include preparing the listing documents, comparables if needed, email pre-listing presentation, and any other item needed for the successful client meeting.
- Once listing is signed – own it! Use check list for the listing process. This includes photos, signage, lockbox, home staging. Be present at the photoshoot and return to the property with the interior flyers/stand. Schedule open houses and give clients weekly feedback. Be the go-to for listings!
- Oversee ISA (Inside Sales Agent) virtual assistant. Schedule daily meeting with the ISA and go over weekly progress report.
- Assist Team Lead when working with buyers (contracts, vendors, opening doors, etc).
- Hold agents accountable to their goals (411 and pipeline report weekly) and ensure the members of the team have the necessary tools, system/models to perform at their peak. Focus on growth (business and personal!).
- Coordinate occasional client events.
- Continue to take day-to-day office tasks away from lead agent, organizing workflow and reducing inefficiencies. Be in-front-of her at all-times!
- Oversee teams numbers, financial reports, and systems (numbers are pre-calculated for you)
QUALIFICATIONS:
- At least one year of experience working in real estate (leasing/rental experience does not qualify)
- Real Estate License REQUIRED
- Serious attention to detail, ability to multitask under high-stress situations
- Cannot be phone shy!
- MLS and DocuSign (preferred)
- Knowledge of KWcommand a HUGE plus!
