GENERAL SUMMARY: This position is primarily responsible for coordinating all logistic needs at each expo for both IRONMAN and Rock ‘n’ Roll Events. The position works closely with several internal departments to coordinate the overall layout to ensure each asset is placed in the most advantageous location. Additionally, the position collaborates closely with the Partner Services Team to ensure any on-site partner activations are executed successfully inclusive of the expo and other on-site activations. The position also handles the ordering of necessary event signage and creation and execution of the event signage plan.
Principal Duties and Responsibilities:
- Oversee the planning and execution of the expo within designated event “series.” This will include close collaboration with the Race Director, Operations Team, venue, service providers, internal departments, & official partners and vendors.
- Work closely with the Athlete Services and Merchandise Teams to coordinate the overall layout and placement of each entity, ensuring each are placed in the most advantageous locations.
- Serve as the main contact for partners and vendors relating to the expo activation at a particular event to ensure all needs are met throughout build out, hours of operation and tear down.
- Communicate appropriate guidelines and applications to each expo partner and vendor leading into the event. Ensure the inquiring company fully understands all rules and regulations regarding the expo and any expo applications are finalized for payment. Field any expo inquiries appropriately and in a timely manner.
- Ensure all deliverables are confirmed and provided for on-site needs within the expo (power, tables, chairs, etc).
- Work closely with the Partner Services team regarding partner deliverables relating to the event to ensure any activations are fulfilled. Coordinate and communicate with the Race Director and Operations Team to ensure all partner activation elements are approved and executed.
- Oversee the signage ordering process for each event. This will include coordinating needs with internal departments, communicating with signage partners, and ensuring all orders are delivered on the appropriate timeline and were printed correctly.
- Oversee and manage the signage assets on-site- including finish line signage, snow fencing placed on course, etc. Collaborate with the Partner Services and Operations team on the appropriate plans, approvals and production for signage elements.
- Resolve conflicts and facilitate changes in structure of expo to ensure objective fulfillment and swift response to marketing problems and opportunities.
- Establish and maintain a consistent and positive corporate image.
Job Requirements:Education and work experience:
- Bachelor’s degree (B.A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience in Marketing or Business/Management related.
- Willingness and ability to travel to selected events and able to work a flexible schedule, to include weekends and holidays as required
Skills and knowledge:
- At least two years of marketing or event coordinating experience.
- Able to work a flexible schedule that sometimes includes long hours, weekends and holidays.
- Must be able to travel (domestic & international) on an as needed basis. Expectations should be (10-15) weeklong trips per year.
- Able to lift 25lbs – 50lbs.
- Able to walk/stand on feet for long periods of time.
- Excellent organizational, leadership, and interpersonal communication.
- Clear and conceptual thinking ability is a plus.
- Excellent judgment and discretion; ability to handle multiple priorities simultaneously, meet deadlines, and handle work-related stress is required.
