We are looking for an experienced Facilities Manager to oversee all building-related activities. The Facilities Manager is accountable for the timely resolution of all projects, repairs and installations in a cost-effective manner that meets our quality standards. You will be responsible for preserving the good condition of infrastructure and ensure that facilities are safe and functioning properly. This position includes supervising maintenance staff including scheduling, monitoring work performance and training/development.
The ideal candidate will be well-organized and able to optimize the use of space and equipment while reducing operating costs. Leadership abilities and phenomenal efficiency can set you apart among our candidate pool. Must possess the ability and experience to manage multiple projects at one time and leading a team towards achieving service standards. The goal is to ensure our business’s accommodation is problem-free and safe so that employees can work under the best conditions.

Key Job Functions:

  • Provide facility services in two or more facilities (requires commute between properties)
  • Make rounds of the buildings, vacant units and grounds daily
  • Develop and implement a facility management program including preventative maintenance and life-cycle requirements as well as operational policies and procedures
  • Supervise all maintenance facilities staff and external contractors to provide industry leading customer service
  • Provide coaching to maintenance staff
  • Collaborate with other facilities staff and management concerned with security, building systems, and maintenance
  • Manage day-to-day activities related to facilities services such as HVAC issues, light facility improvement projects, janitorial and grounds maintenance, building maintenance, and equipment maintenance
  • Keep property free of trash and debris and constantly strive to improve the property.
  • Self-perform various on-site mechanical, plumbing and construction related tasks
  • Control activities like allocation of office & parking space, waste disposal, building security etc.
  • Conduct and document regular facilities inspections
  • Inspect buildings’ structures to determine the need for repairs or renovations and recommend updates or improvements to facilities
  • Organize and prioritize facility corrections, repairs, and improvements
  • Review and approve all service invoices for maintenance, repairs, equipment installations
  • Manage all service contractors and related procurement and work order needs
  • Handle insurance plans and service contracts and coordinate related activities with property manager
  • Plan and coordinate all installations and refurbishments of Tenant improvements
  • Coordinate and administer assignments, monitor contractor progress, and maintain schedules
  • Inspect construction and installation progress
  • Manage the upkeep of equipment and supplies to meet health and safety standards to ensure compliance
  • Perform root cause analysis on facility issues for both equipment and process
  • Review utilities consumption and strive to minimize costs
  • Keep financial and non-financial records
  • Perform analysis and forecasting of annual budget and monthly expenses
  • Regularly communicate facility maintenance status to the property manager, management, and ownership

Requirements:

  • BSc/BA in facility management, engineering, business administration or relevant field
  • Proven experience as facilities manager or relevant position
  • Well-versed in technical/engineering operations and facilities management best practices
  • Knowledge of basic accounting and finance principles
  • Proficient in standard Microsoft Office applications (Outlook, Word, Excel)
  • Working knowledge of MEP systems
  • Working knowledge of procurement and contracts
  • Excellent verbal and written communication skills
  • Excellent organizational and leadership skills
  • Good analytical/critical thinking
  • Must be willing to have a hands on approach and optimist attitude while overcoming the challenges of day to day activities.
  • Relevant professional qualification (e.g. CFM) will be an advantage
