The Workplace Services and Facilities Manager will lead operations across several high-volume offices in the Tampa Bay area. You will direct and coordinate all workplace services activities, ensuring our offices are running efficiently and meeting corporate standards. Your responsibilities will stretch across a multitude of support functions, including but not limited to: Staff management and development, facilities maintenance and construction projects, physical security, compliance and audit programs,business continuity and emergency preparedness, vendor management, financial and accounting.

Core Responsibilities:

  • Manages and coordinates all aspects of the facility and properties including location aesthetics, operations, and maintenance.
  • Someone who can think outside the box and offer creative, innovative design solutions.
  • Assess and evaluate physical space requirements and make recommendations to meet needs.
  • Ensure the safe operation, maintenance, and repair of all facility equipment, including compliance with all health, safety and OSHA programs, policies, procedures, and reports.
  • Establish and maintain relationships with various internal working groups and internal departmental contacts.
  • Responsible for new account allocation including coordination with IT, Finance, Compliance, and required vendor engagement.
  • Responsible for suggesting methods to improve area operations, efficiencies and service to internal clients.
  • Maintains all required records and documentation.
  • Completes various facilities administration duties including but not limited to, administrative support, vendor coordination, landlord service coordination, work-order processing and coordination.
  • Ensures final inspection of all contract-related work and execution of all work orders.
  • Ensures all fire and safety equipment is in working order and in compliance with all applicable city, state and federal codes.
  • Solicits bids from contractors and vendors; supervise all contracted work that is performed on the property.
  • Provides administrative oversight of third-party relationships through implementation of designated systems, routine monitoring of performance, and tracking of services.
  • Space governance including space assignments, space and occupancy planning, move management, maintenance and capital improvements and security coordination

  • Coordinate departmental moving projects
  • Ensures all personal protection equipment for staff is in good working order and that related training is completed and documented.
  • Plan and coordinate facilities projects related to construction, renovation, repair and maintenance, furniture, equipment relocation and physical appearance.

Qualification/ Experience Requirements:

· 2 years related work experience

· Experience with construction and decommission projects, office build-outs, remodels, etc

· Strong customer service and interpersonal skills in order to manage and deliver results for diverse teams and internal functional areas. Position continually requires demonstrated poise, tact and diplomacy.

· Strong Knowledge, Skills, and Abilities: interpersonal and communication skills, both oral and written, including advanced negotiation skills, influencing skills,and presentation skills.

· Experience leading cross functional projects.

· Strong organizational skills.

· Willingness to take ownership of requests; prioritize and meet deadlines.

· Strong attention to detail and quality.

· Ability to be Emergency on call 24/7

Education:

· High School diploma or General Education Degree (GED) required
