POSITION SUMMARY :
The Field Office Manager assists and supports the project team members and is responsible for general administrative duties, including maintaining accurate and complete records of project documents.
The position works under direct supervision and performs routine daily administrative activities. This position must demonstrate strong organizational and time management skills, as well as have strong communication and client service skills.
MAJOR DUTIES & RESPONSIBILITIES :
- Process all material and subcontractor invoices for approval and inputs into ECMS
- Maintains and monitors subcontractor insurance log
- Requests, collects and files partial and final release of liens
- Collects and processes Certified Payrolls, when required
- Maintain back charge records and prepare back charges
- Receives and processes payroll for hourly employees
- Sign up new craft employees using required hiring documents
- Processes Personal Action Forms (PAF) for all craft employee changes
- Assist with preparation of monthly billing to Owner, if requested
- Prepare Job Cost Corrections as required
- Set up and maintain general, subcontractor correspondence, and accounting files
- Receive, date stamp and distribute all incoming mail
- Order and maintain stock of office supplies
- Helps maintain records of computer related equipment and prepares equipment transfers as needed
- Serve as the First Aid Point of contact
- Assist the Superintendent or Safety Manager in maintaining OSHA documentation and postings
- Assist in Project Close Out process
- Provide general administrative support of project team as requested
- Other duties as assigned
Job Requirements JOB SKILLS & ABILITIES GUIDELINES :
- Computer knowledge and efficiency, including Microsoft Office products
- Knowledge of ECMS and Prolog, or ability to learn and implement within 30 days of hire
- Good time management and organizational skills
- Ability to understand and follow instructions
- Functions effectively as part of a team
- Dependability
MINIMUM QUALIFICATIONS :
- High school diploma or GED
- 2 years of industry experience
