Summary:
Perform administrative duties in support of high volume foreclosure practice to include preparing or reviewing routine legal documents, monitoring & updating case management software or client/vendor websites, corresponding with clients or other involved parties, and processing mail.
Essential Functions:
Vendor Programs: Monitor and update various software programs to include Vendorscape, Black Knight, NDS, Tempo and Perfect Practice to document foreclosure status. Correspond with clients through emails, fax, telephone and/or their respective software programs. Request and proactively follow up on documents or information required to process their files.
File Setup, Opening: Retrieve referrals from client websites and emails. Open new files in case management system; perform all initial data entry. Review docket on new files received for key events and note files with same.
Productivity / Workflow Reports / Timelines: Proactively utilize reports to organize and maintain a smooth flow of tasks and to stay in accordance with department guidelines or client requirements. Continually prioritize tasks to improve scorecard performance and to achieve individual and departmental production goals. Adapt priorities based on changing demands of caseload. Multi-task and meet deadlines. Inform supervisor of problems with the reports, vendor related tasks or other tools that prevent work from being completed efficiently or effectively.
Related Tasks: Perform a variety of tasks including but not limited to: Transfer files (filing Notice of Appearances, sending stipulations to prior counsel, follow up with prior counsel for documents), pulling recorded Lis Pendens, Service follow ups and dropping parties, Close/Hold/Resume files, Motions to withdraw from cases, and Bankruptcy status reviews.
Education & Experience
- Minimum High School Diploma or equivalent, college degree preferred
- 2-3 years of legal experience in the foreclosure industry
Knowledge, Skills & Abilities
Computers and Software – Intermediate knowledge of commonly used business software programs including Microsoft Word, Excel and Outlook; Corel WordPerfect; PDF files and electronic documents; Windows operating system and common PC computing tasks.
Clerical/Administration – Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
