The Front Desk Administrator will be the first point of contact for clients who call or visit. This role will serve visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; and maintains the telecommunications system schedule. Besides greeting visitors and answering telephones, the Front Desk Administrator will help in creating a welcoming, comfortable and professional environment.

Key Responsibilities
The successful candidate will be able to demonstrate core competencies in the following areas:
Process all external and internal telephone calls on a multi-line phone system with professional decorum and on a timely basis with effort to assist each individual as requested. Individual will need to answer, screen and direct calls to the appropriate individual.
This position will also manage, sort and distribute incoming mailings, deliveries, faxes and other communications, as well as facilitate the dispersal of outgoing communication.
Receive visitors and assist as requested, to include announcing for appointments, providing information or informational materials.
Maintain professional appearance of the front desk/lobby, kitchen & common areas.
Word processing, property & availabilities database maintenance.
Ordering office supplies and business cards.
Post daily mail; coordinate courier and overnight mail deliveries.
Assist with direct mail programs.
Coordinate conference rooms and conference call reservations as requested.
Maintain employee and department directories.
Provides end-user support for inquiries about desk phone operation.
Management of the Tampa office conference room and company-wide conference line phone calendar.
Coordinate with vendors and manage service calls on equipment, i.e. postage machine, copiers, etc.
Requirements
The successful candidate will possess the following required degrees, certificates or competencies:
Able to follow instructions and procedures
Experience with multi-line phone system

Working knowledge of Microsoft (Word, Excel) and web-based applications
