The Front Desk Associate (FDA) position at Benefytt will work closely with the Human Resources team to provide general office support. The FDA will be the first point of contact for receiving guests. While providing administrative support and office functions including:distribution of mail, requisition, office supplies, facility requests, invoice reconciliation and security badge system. In addition to be expected to handle general communications as well as clerical duties as assigned by the HR team. This role will be be expected to offer great flexibility with courtesy and focus on internal/external customer service.
Essential Duties and Responsibilities:
• Receive and Greet visitors in Reception, ensure proper hand-off to on-site contacts
• Educate and enforce COVID safety protocols for staff and visitors
• Receive and deliver incoming packages and mail
• Create labels for all outgoing packages, ensure proper shipping protocols are followed; assist departments
• Primary contact for property management, including the building engineer, day porter, and cleaning staff
• Handle internal building maintenance requests, emergency planning & communications, and follow-up with property management
• Develop and maintain an effective service relationship with all Vendors
• Place orders for coffee supplies, copy paper and general office supplies
• Stock and replenish break rooms with supplies,ensuring acceptable conditions of common areas at all times
• Maintain security badge system; oversee security cameras in partnership with HR & IT
• Arrange birthdays and service anniversary luncheon each month
• Assist with assigned clerical duties – create and file property receipts, expense reporting, etc.
• Updates job knowledge by participating in educational opportunities: Front Desk Safety, COVID, etc.
• Assist the Human Resources team as needed
Education and Work Experience:
• High School diploma or equivalent is required
• Minimum of 3 years’ reception, facilities support and/or administrative assistance experience in a corporate environment is required
• At least one year of experience in the Hospitality, Service, or other high touch industry strongly preferred
• Competency in MS Office (focusing on Outlook, Word, and Excel) as well as general PC skills
• Familiarity with general office equipment
• Demonstrable phone etiquette
• Effective verbal, written, and listening communication skills
• Able to work with minimal supervision, both independently and as part of a team
• Track record of successful customer service interactions
Attendance Requirements:
Due to the nature of Benefytt Technologies, Inc. needs, regular and reliable attendance is required. Individuals must be able to work at least a 40 hour work week, Monday through Friday, and be available as situations arise requiring extended hours.
