Lutz Office Receptionist Job Duties
The Lutz office Receptionist is the first point of contact when a client comes into the office or calls. The Lutz Receptionist reports to the Vice President of Property Management, Director of Association Services, and Senior Manager from time to time. The position is a full-time position Monday-Friday 8:30am- 5:00pm.
The Receptionist position does not have supervisory responsibility. Requirements:
- Must be energetic and have excellent customer service skills
- Must be positive, confident, neat in appearance and upbeat
- Must be able to make decisions on the spot
- Must display a high level of interpersonal skills and phone etiquette
- Must have computer skills
- Must have reliable transportation and be punctual
The physical demands of the position are listed in accordance with the requirements of the ADA as:
- Body Position:
- Standing- 25% of the time
- Walking- 25% of the time
- Sitting – 50% of the time
- Body Movements: Lifting and exerting force is required up to 35 pounds.
- Senses: Vision – Close Vision and ability to Adjust Focus. Hearing – Ability to hear enough to converse in person and on the phone.
- Mental Requirements: Fluency in the English Language (read, write, and speak) is required as most customers, vendors, and employees communicate only in that language. The mechanical abilities requirements of this position include the use and operation of office equipment and machines, including computers and printers. The ability to perceive spatial relationships is a very minor requirement.
Responsibilities and Duties:
- Greet clients that come into the Lutz office
- Answer phones using the answer and transfer system
- Return abandon call report callbacks every evening
- Process daily mail
- Maintain gate entry system- Programming, Tracking, Auditing, Sticker Distribution and placement on vehicles, call for gate supplies with approval, and calls for gate repairs (approved by BOD and Managers)
- Scan checks
- Prepare Misc. check transmittals
- Postage Report
- Prepare all interoffice mail for distribution to other offices
- Assist Supervisor and mangers with special projects
- Assemble notebooks and file packet for incoming properties
- Maintain community calendars in CINC for the Association Managers
- Additional duties may be assigned by the Director of Association Services
Qualifications:
- High School Diploma
- HOA/COA Property Management experience a plus but not required
- Must be able to work Monday- Friday from 8:30 am to 5:00 pm
- The ability to sit at a desk for long periods of time
Compensation: TBD Benefits: After 90 days
Job Type: Full-time
Pay: $13.00 – $14.00 per hour
