Sailport Waterfront Suites, a Provident Resort, is seeking a dynamic, experienced Front Office Manager to lead our front office to achieve exceptional results. The ideal candidate for our team will have a history of demonstrated leadership skills and effective cross-departmental communication. Knowledge of Springer-Miller Systems HOST property management system preferred but not required.

Job Description:

Purpose of this position: To oversee the responsibilities and direct the work of the Front Office staff to ensure exceptional service to the guest. Provides supervisory guidance, training, discipline, and control of all associates.

Essential Responsibilities:

  • Interviews and hires Front Office department associates.
  • Participates in training all Front Office personnel.
  • Ensures proper staffing levels by overseeing the scheduling of all Front Office staff.
  • Reviews and approves all Front Office payroll, reviews, job transfers, disciplinary procedures, counseling sessions and terminations.
  • Has complete understanding of all Front Office staff’s job descriptions and duties and is able to perform duties at any given time.
  • Prepares purchase requisitions for supplies needed.
  • Has full understanding of hotel reservations system and assists with reservations.
  • Has thorough knowledge of PMS system.
  • Has complete working knowledge of POS system including reporting, all daily transactions and those which are not performed often.
  • Checks AM and PM discrepancy reports.
  • Communicates effectively with Housekeeping Department regarding guest rooms and requests.
  • Communicates effectively with the Rooms Quality Department regarding and maintenance requests from guests.
  • Promptly and professionally checks guests in and out of the hotel.
  • Knows how and where to post all charges.
  • Receives money from guests for payment of hotel charges and makes correct change.
  • Handles cash and credit cards received from guests for payment of hotel charges.
  • Knows all the room rates.
  • Issues safety deposit boxes to guest when requested.
  • Gives directions to hotel facilities, rooms and local area attractions.
  • Understands night audit procedures.
  • Meets budget by performing within guidelines.
  • Oversees inventory and sales in small convenience area/gift shop.
  • Attends monthly and daily meetings.
  • Adheres to all policies and procedures.
  • Provides a safe work environment by following all safety and security procedures and rules.
  • Prepares timely performance reviews of all subordinates.
  • Coordinates the Night Audit staff.
  • Serves as Manager on Duty at all times when on property.
  • Additional duties which you may be asked to perform.

Requirements:

  • Portray leadership and provide guidance to the Front Office Staff.
  • Properly handle guest complaints and/or concerns.
  • Efficiently operate a keyboard by moving fingers, hands and arms.
  • Understand and operate the computer.
  • Stand for varying lengths of time, sometimes for long periods.
  • Talk with different kinds of people to give information, answer questions and provide the service required.
  • Use arithmetic to check totals and make change.
  • Read maps and give clear directions.
  • Operate safe lock equipment.
  • Push and pull bell cart weighing up to fifty (50) pounds.
  • Memorize the hours of operation for the hotel facilities.
  • Oral and written communication skills in English.

Supportive Job Functions:

  • Work Front Desk during high volume periods.
  • Be able to give local direction to guests
  • Be able to give out general hotel knowledge to guest.
  • Be able to assist guests with requests, questions, and problems not Front Office related.
  • Additional duties as assigned by General Manager.
  • Support the Reservation Department in taking reservations, upselling, and inventory maintenance.
  • Monitor, maintain, and adhere to all accounting procedures in the Front Office.
  • Assist in the research and resolution of all billing errors in the Front Office.

Physical Demands:

  • Must be able to walk and stand for multiple hours per day
  • Must be able to lift up to 50lbs occasionally
  • Requires manual dexterity to use and operate all necessary equipment

Qualifications/Experience Standards:

  • Bachelor degree in Hotel Administration or equivalent experience of two years Hospitality Management experience
  • Proven leadership / management skills, ability to work effectively in a team environment
  • Ability to research, plan, propose and implement initiatives upon approval
