Summary

This position is full-time (30 hours a week) and provides clerical support to the Housing Community in an efficient manner and in accordance with HUD regulations, organizes the resident newsletter, ensures that all work orders and residents’ service requests are communicated to appropriate staff in a timely manner and supports the Embrace Living Communities wellness culture that encourages active aging and “living well.”

Essential Duties and Responsibilities

  • Creates a respectful living environment for seniors and physically challenged individuals that is aligned with the mission, vision and values of the organization.
  • Receives and posts rent payments. Prepares bank deposit.
  • Prepares outgoing mail, including applications to prospective Receives sorts and routes incoming mail including receives completed applications.
  • Maintains waiting list. May participate in prospective resident interview process.
  • Greets and assists guests. Answers incoming phone callers; transfers callers to appropriate extension and/or takes and forwards messages.
  • Operates office equipment such as personal computer and Prepares and distributes various documents and correspondence.
  • Prepares and codes invoices for approval.
  • Maintains Housing Community files.
  • Prepares and issues work orders and takes appropriate actions in response to residents’ servicerequests.
  • Lays out, prints and distributes monthly newsletter to residents.
  • Provides administrative assistance to the Manager.
  • Answers residents’ questions and provides information in a respectful, open and welcoming manner. Assists residents in completion of required forms and documents. Provides residents with assistance with other administrative services they may request.
  • Maintains proper inventories of office supplies.
  • Works independently and collaborates with teams.
  • Commits to organizational growth & sustainable building practices, energy efficiency and green product use where prudent.
  • Responds promptly to requests for service and assistance, maintains confidentiality and meets commitments.
  • Follows policies and procedures, completes administrative tasks correctly and on time and supports organization’s goals and values.
  • Approaches others in a tactful manner, reacts well under pressure, treats others with respect and consideration regardless of their status or position and follows through on commitments.
  • To perform this job successfully, an individual should have knowledge of Word Processing software and Spreadsheet software.
  • The employee must occasionally lift and/or move up to 10 pounds.

Experience/ Education

  • Associate’s degree (A.A.) or equivalent from two-year college preferred; high school diploma or equivalent required. At least one year of administrative and clerical experience in a respectful living environment for seniors and physically challenged individuals (preferably federally subsidized housing) required.
