The Straz Center has begun its search for a part-time HR Associate. Reporting to the Senior Director of Human Resources, the HR Associate performs a variety of administrative and complex clerical duties to provide support to the Human Resources team. The HR Associate will assist with administrative tasks as it relates to; recruitment, employee benefits, payroll, event/meeting coordination, and other HR-related tasks.
Primary Duties and Responsibilities:
Recruitment /Employment
- Processes background checks for prospective employees, volunteers, and interns. Inputs candidate information, sends contact information to applicants, monitors background checks to ensure completion, and communicates eligibility for hiring or volunteering to HR Specialist. Notifies Sr. Director of HR of any background checks with past history and updates adjudication guidelines.
- As directed by Sr. Director of HR, may be involved with screening candidate applications, scheduling telephone screening of job candidates, and parking arrangements for in person interviews.
- Assists with auditing new hire paperwork.
Administrative:
- Scans and files HR related documents (both hard copy and electronically). Responsible for the organization and maintenance of employee files (hard copy and electronic); ensuring the highest level of confidentiality and accuracy.
- Coordinates calendars, meetings and provides administrative support to the Senior Director of HR.
- Tracks all expenses for the HR department and reconciles them with invoices, or P-card statements.
- Receives and distributes incoming and outgoing mail for the department
- May perform light research and/or benchmarking with similar institutions.
- Ensures that departmental SOPs, organizational charts, and Team Charter are kept up-to-date.
- Responds to Verification of Employment requests.
- Assists with some payroll processing tasks as assigned by Sr. Director of HR as needed.
- Works on special projects as assigned.
Training & Development
- Assists with management of Learning Management Systems (LMS).
- Partners with various department heads and Sr. Director of HR to coordinate annual compliance training and division specific training tracks on a variety of topics.
- Assists in conducting general and specific training programs to help workers maintain or improve job skills.
- Choose and evaluate training materials prepared by instructors, such as outlines, text, and handouts.
- Organize and prepare course plans
- Assess and analyze training needs through surveys, interviews with employees, or consultation with managers.
Employee Meetings and Events:
- Assists with scheduling and coordinating various employee meetings, including quarterly all staff meetings, open enrollment, new hire orientation, wellness seminars, and training classes.
- Provides assistance and logistical support for employee “lunch and learns” and other training sessions.
- Coordinates annual holiday party.
- Assists with coordination of annual Employee Health Fair.
- Performs other duties as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities):
- MUST BE ABLE TO WORK REMOTELY AND INDEPENDENTLY.
- Ability to maintain a high level of confidentiality as well as sensitive and confidential situations and documentation.
- Self-motivated with strong administrative and organizational skills; must be able to prioritize work in a fast-paced, changing environment.
- Strong competency with Microsoft suite of business applications, including Word, Excel, Outlook and PowerPoint.
- Demonstrated success maintaining accurate records and attention to detail.
- Ability to function both independently and as part of a team in a multi-task environment.
- Excellent communication skills, both verbal and written. Excellent telephone manner is essential.
- Ability to interpret a wide variety of instructions and work within established guidelines with little direct supervision.
Education and Work Experience:
- Bachelor’s Degree preferred. High school diploma required.
- Minimum of 2 years clerical or related experience required.
- Some college course work a plus, (particularly business or HR related coursework but not required).
- Some payroll experience a plus (but not required)
