Hours are Monday – Friday, eight hours per day with a one-hour lunch break.
The Administrative Assistant reports to and will also assist in the duties of the Sr. Director of Administration as needed.
Administrative Assistant Will Be Responsible For:
- Reception Duties (phone calls, emails, and visitors)
- Prepping Conference Room for Meetings
- Data Entry/Upkeep of Databases/Mailing Lists
- Processing/Mailing orders from our online store
- Organize Files
- Bank Deposit Runs
- Coordinate regularly – scheduled office equipment maintenance
- Liaise with the leasing office for maintenance/upkeep of suite
- Upkeep the Inter-office Calendars
- Maintain stock of office supplies
- Send/Receive/Log/Distribute Mail and Packages
- Ensure clean, organized, and safe office space
- Book some staff travel (flights, hotels, car rental)
- Run Errands for C-level Executives
- Walk the office dog
- Help plan office parties as assigned by Manager
- Other related duties as assigned by the manager
Skills and Qualifications:
- Computer proficiency esp. in MS Office (Word, Excel, PP) is a must
- Professional verbal and written communication skills with a pleasant and patient phone voice
- Must be able to drive
- Previous experience with any CRMs, a plus

Salary and Benefits:

This is an in-office position with some driving required for errands. Some mid-to heavy lifting is required to organize boxes, move jugs of water, etc. Nothing in this job description restricts management’s right to assign or reassign duties and responsibilities to this job at any time.
