As the Junior Office Manager/Administrative Assistant you will help our growing real estate team ensure they can focus on what they do best- Real Estate!

You will represent the team, serving as a great first impression and the initial point of contact. Someone with knowledge or experience in the real estate industry would be a huge plus!!

Schedule: Monday-Friday 9am-4:30pm

Responsibilities:

  • Maintain updated database of clients as well as suppliers, and all entities that realtor does business with, i.e. Attorneys, Association Managers, Inspection Companies, Contractors, etc.
  • Preparing listing agreements
  • Managing new listing and entering into MLS, order photos and video. Participating in preparation of regular reports on listing performance
  • Participating in preparation of open houses and their announcements
  • Update Marketing Assistant with any changes
  • Assisting with all due diligence: reports, specific documents, inspections, keeping track of transactions, closing scheduling meetings and appointments for showings
  • Preparing documents such as show-sheets and property information
  • Manage day-to-day office operations
  • Develop and implement systems for sellers, buyers, lead generation, contact database management, and back-office support
  • Create and maintain an Operations Manual that documents all systems and standards
  • Coordinate the purchase, installation, and maintenance of office equipment * Serve as the first point of contact in handling customer inquiries or complaints
  • Responsible for keeping the Team informed regarding any problems or issues that need to be handled.

Requirements:

  • Bachelor’s degree
  • Previous real estate experience is a plus, but not a deal-breaker
  • Ability to work in a small family run business. This is not a corporate environment at all.
  • Strong attention to detail
  • Outstanding organizational and time management skills
  • Able to multitask and prioritize daily workload
  • Discretion and confidentiality when handling PIP information
  • Proficiency in Word, Excel, Windows and MAC
  • Excellent verbal and written communications skills
  • Loves organizing and tracking data
  • Reliable and responsive
  • Is flexible, experienced in professional communications, and not easily rattled
  • Is coachable/loves to learn/not afraid to put in the hard work to grow personally as well as professionally
  • Proactive (mind-reader)
