About the role:
The Property Manager (the “PM”) is responsible for the overall performance of the day-to-day property management operations of all on-site staff, outside vendors and residents/tenants. To maintain, preserve and improve the owner’s assets via expense control, revenue optimization and capital projects, the PM must create, manage and maintain a motivated team of employees and establish, adhere to and enforce all policies and procedures as set forth by the Management Company and/or Owner.
Essential Duties and Responsibilities:
- Financial and fiscal management.
- Prepare draft of annual operating budgets for assets in the portfolio.
- Approve and process vendor invoices for payment.
- Review monthly financial statements paying particular attention to income and expense variances.
- Assist with the preparation of proper accruals, both monthly and at year end. ?
- Prepare monthly property summary reports including short term cash flow analysis, summary of monthly cash flow, variance report, narrative of building operations.
- Prepare first draft of annual operating expense estimates and reconciliations.
- Monitor receivables reports on a regular basis throughout the month and assure tenant compliance with all lease provisions.
- Direct on-site team and outside vendors with building maintenance and capital improvements Assume overall responsibility for the portfolio’s physical plant [ interior and exterior ].
- Personally inspect each property in the portfolio at least quarterly, and more often as required, and prepare a written report of findings and resolutions for senior management.
- Monitor the Landport Service Request System ensuring the timely dispatch and completion of tenant service requests. Prepare, update and review regularly the preventative maintenance schedules for each asset in the portfolio.
- Obtain proposals from third parties to perform all required work and submit recommendations to senior management for approval.
- Assist senior management with forecasting the capital needs to determine future investment requirements.
- Review life expectancy reports and recommend appropriate adjustments to senior management when needed. Tenant relations and development.
- Respond to tenant phone calls and emails in a timely manner and assist with problem resolution. Follow up with tenants to ascertain tenant’s satisfaction with work performed.
Qualifications of a Property Manager:
(Minimum Requirements)
- Bachelor’s degree in business, finance or real estate preferred.
- Minimum 5 years conventional/market rate property management on-site experience, preferably starting as a leasing or marketing specialist with promotions to management positions.
- Management experience must have been with a professional property management company respected as such in the industry and include the management of staff consisting of assistant managers, leasing and marketing specialists, and maintenance personnel.
- A professional designation of Certified Property Manager (CPM), Certified Apartment Manager (CAM), Registered Apartment Manager (RAM), Accredited Residential Manager (ARM) or similar industry designation is desirable.
- Mandatory Fair Housing Certificate and awareness of fair housing laws.
- Awareness of national, state and local laws especially regarding landlord – tenant law.
- Must be computer literate with and proficient in systems and software including but not limited to Microsoft Word, Excel, Outlook, Publisher, Property Management Software, Website, Internet Listing Services and Revenue Management Software.
- Proficient in mathematics including computation of rate, ratio, percent, create and interpret graphs.
