Our busy law firm is currently seeking a qualified applicant to fill the position of Law Office Administrator (LOA). The Law Office Administrator is ready to provide attorney and paralegals with needed administrative and financial support and assistance in their daily tasks. Ready to coordinate client, attorney, and paralegals calendars, oversee receptionist, plan events, manage office and work product supplies and provide answers to clients and vendors regarding the firm. LOA will use technical and interpersonal skills to consistently enhance operations and impress clients. The LOA will report directly to Managing Partner. The ideal candidate for this position has a strong work ethic, exceptional problem-solving skills and is comfortable working in a fast-paced and dynamic workplace.

Core Qualifications

– Manages all mail handling for ALL paralegals.

– Handles client claim payments as per process.

– Conducts New Employee training.

– Handles office, budget, and project management.

– Works with bookkeeper to insure timely processing of all expenses related to the facilities, maintenance, and supplies.

– Provide financial reports to Managing Partner Attorney and Chief Operations Officer on a weekly basis.

– Insure 100% operation of back-office equipment required by staff, i.e. copiers, faxes, screens, and telephone systems.

– Familiarity with electronic legal solutions.

– Exceptional written and oral skills.

– Manage Calendar for Attorney as requested.

– Write and distribute memos relaying pertinent information through inter-departmental channels.

– Make and review all travel arrangements.

– Maintain electronic records management system, working with IT establishing separate filing systems for each user.
