JOB DESCRIPTION

INTRODUCTION:

The Concierge is a very important position at Condominium Associates (CA). This person aids all staff members of the Property.

BASIC FUNCTIONS:

The Concierge’s first responsibility is to the services of the homeowner s. Concierges are responsible for keeping the building secure and handling the day to day flow of traffic. Concierges triage homeowners’ visitors and to ensure that no solicitors or unauthorized personnel are allowed on the property.

REQUIREMENT OF THE JOB:

The physical demands of the position are listed in accordance with the requirements of the ADA as:

Body Position:

  • Standing -1/3 of the time
  • Walking – 1/3 of the time
  • Sitting – 2/3 of the time
  • Body Movements: Lifting and exerting force is required up to 35
  • Senses: Vision – Close Vision and ability to Adjust Hearing – Ability to hear sufficient to converse in person and on the phone.

REPORTING RELATIONSHIPS:

The Concierge reports directly to the Manager. However, Concierges may also take direction on occasions from the Board Members and Residents of the Property.

AUTHORITY:

The Concierge is selected by the Manager and is delegated sufficient authority to accomplish the duties, responsibilities, goals, and objectives that have been established for the functional position of Concierge.

Working Conditions

  • All staff members are allowed one 10-minute break in the morning and one 10-minute break in the afternoon. This includes breaks for smoking. Lunch periods are unpaid. However, a lunch may be taken unpaid by leaving the office or remaining in the office and eating.
  • This position will work in an office setting and may also require checking the premises from time-to-time.
  • Concierges must maintain vigilance on the cameras and access doors. They maintain computer and written logs for multiple items
  • This position requires the Concierge to work at a desk and to stand while filing The Concierge must be mobile and able to walk at least one flight of stairs in order to quickly allow access in the event the electronic access systems are done or an emergency occurs on another floor.
  • Concierges must be able to deliver packages and pick up dry cleaning during shift change and other items as needed and able to walk the common areas and secure doors that includes various floor patio areas and upper deck to maintain

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.

DUTIES:

  • Concierges must greet homeowners, guests and vendors in a friendly and professional manner and contact appropriate resident for permission to allow them access to the property. Provide residents with information and direction as needed as well as assist vendors with gaining access to
  • Concierges answer incoming phone calls and assist callers as deemed
  • Concierges must be alert, mobile, and ready to assist residents at all
  • Concierges must be able to handle emergency situations including the ability to respond quickly to a summons for Receives, prepares and dispatches work orders based on service requests to maintenance staff. Enters work orders into computerized work order system and close out work orders when completed.
  • Schedules homeowner move-ins, deliveries, schedules, and coordinates matters with vendors, contractors, etc. as needed. Provide instructions for move in/furniture delivery procedures. Notify building maintenance for elevator cab preparation and notify manager and maintenance of scheduled event
  • Maintains all unit owner files to include the filing of all incoming and outgoing correspondences as well as create new owner files when
  • Accept deliveries on behalf of Notify homeowner of accepted delivery. Maintain a log of every package delivered and insure that all packages are locked up and not left unattended until received by the homeowner.
  • In the calendar, maintain a daily log of deliveries received all unusual or noteworthy occurrences.
  • It is the responsibility of the concierge arriving at work to reach through the daily fog entries from the previous shifts.
  • Assists in maintaining current “information” Sheet for the Association which reflects Maintain and update referral sources for homeowners and their guests which will include restaurants, personal services, travel services caterers,
  • Provide homeowners, upon request, with property management/association forms such as alterations approval requests, pet registration, resident directories, rule booklets,
