Job Description

The Facilities Administrator must possess a tenacious desire to deliver flawless execution of services with the highest ethical standards. This position will be responsible for supporting Lincare’s Facility Lease Manager and the Real Estate team (nationally) and assist with the execution of the strategy/operations and financials nationally. Success is measured through the achievement of key performance indicators (fiscal as well as operational) and ensure business partner satisfaction nationally. Requires a candidate with a proactive mindset and the ability to work independently.

Essential Duties and Responsibilities:

  • Provide/deliver assistance and ownership in monitoring and increasing awareness of lease expirations while ensuring accurate and timely completion of lease data needs and reporting
  • Report on lease data for the national portfolio, proactively track variances and manage within the target.
  • Record cost savings through maximizing utilization of suppliers, preferred vendors.
  • Accountable for the accuracy and timely updates to Building lease master file utilized for the account processes, procedures, and metrics. With support from the Procurement Analyst.
  • Regularly attend and/or participate in training opportunities
  • Coordinates with Lincare HQ RE/Facilities team for utility, facility, or other shutdown activity that can affect operations.
  • Perform additional job duties as required to support the leasing department
  • Respond to emails from the field (repairs, renewals, rent rates, questions about landlords, etc.)
  • Follow up on default status of the center before rent pays and follow through with landlords who are in default about the status of remediation
  • Approve code, scan and send invoices to AP that is not sent to the PO Box in MA.
  • Process check requests to AP for renewals, relocation or rent increases during the month when not set up on recurring.
  • Set up all recurring rent payments/changes/escalations with General Ledger/Finance
  • Approve all changes to recurring PO’s for all utilities for AP per DOA
  • Answer calls from the field and switchboard about lease-related issues.
  • Assist CM/DM with relocation checklist process; coordinate with various internal depts. to prepare the terms to send up for approval.
  • Process new property owner info, change of ownership, W9’s with AP, GL, and finance. Update all depts. accordingly.
  • Process COI for the landlords with our insurance company – Willis.
  • Assist legal in obtaining the property/tax information for insurance renewals yearly.
  • Coordinates payment of property taxes based on contents for the tax debt.
  • Review the GL list of changes for the RJE monthly (before the 26th) for the next month and advise on MTM status, closures, etc. before they extend the MTM recurring journal entry.
  • Must be 18 or older
  • Must have a high school diploma (GED)
  • Recommended 3 years’ facilities experience required in the corporate environment.
  • Required to be proactive, adaptable, and responsive.
  • Excellent verbal/written communication and presentation skills.
  • Demonstrable influencing and leadership skills/ability to influence a diverse group of internal customers.
  • Experience of dealing with and communicating to senior managers internally and, preferably, externally.
  • Understand the Lincare business strategy and how it relates to the real estate department
  • Capable of drafting commercial terms and in conjunction with the Legal Department.
  • Demonstrate superior interpersonal communication skills with the ability to present cogently to a variety of audiences.
