SUMMARY DESCRIPTION

The Leasing Consultant is to effectively implement the leasing and marketing program, to promote the positive image of the apartment community, and to assist management with resident retention programs. Leasing Consultants will take a proactive role in activities that aid the property in achieving financial and operational goals.

DUTIES AND RESPONSIBILITIES

Handles all aspects of leasing apartments. This includes, but is not limited to;

  • Greeting prospective residents
  • Responding to and converting telephone inquires 
  • Touring the community with prospective residents  
  • Following up with prospects,  
  • Closing the sale  
  • Processing applications within 24-48 hours  
  • Typing leases
  • Obtaining signatures for completion of leases/paperwork prior to move-in

Maintains a minimum closing ratio of 33%, an industry-standard in order to obtain optimum occupancy

Produces reports in a timely, accurate and complete manner, including the weekly traffic reports and a monthly market survey by physically visiting at least one market competitor monthly

  • Maintains detailed knowledge of the apartment community, amenities, and community
  •  Inspects and maintains company standards for leasing office, show trail, common areas, and community amenities, mini models, entrance areas, and apartments available for rent on a daily basis 
  • Accurately tracks and reports all telephone and site traffic daily
  • Ensures “Absolute Resolution” on all open traffic daily
  • Sets up and maintains all resident and property files per company procedures
  • Collects and secures rental and individually metered utility payments
  • Maintains a professional appearance and proactive customer service demeanor at all times

Pro-actively maintains working knowledge of Fair Housing laws, rules, and regulations concerning apartment leasing and management

Handles or assists in the receiving, recording, preparation, and follow up of work orders to facilitate residents’ service requests utilizing the work-order software systems

Develop and maintains on-going resident retention programs (encompassing 120-day renewal program, Calendar of Events, Concierge, V.I.P, P.E.P, etc) under the direction of the Property Manager

  • Must assist in planning and preparing for resident function
  • Must attend resident and apartment community functions
  • Responsible for the thorough knowledge and implementation of all company policies and procedures
  • Responsible for reporting any unusual or extraordinary circumstances regarding residents or the property
  • Must have a mode of communication in which to be contacted at home and to respond in cases of emergency
  • Must be willing to be assigned to other communities as needed
  • Other duties as assigned
  • Bilingual (Spanish preferred)

KNOWLEDGE, SKILLS, AND ABILITIES

  • Sales, customer service, and/or leasing experience preferred
  • Attention to detail and exceptional follow-through
  • Ability to multi-task in a fast-paced, ever-changing environment
  • Ability to walk the property (both indoor and outdoor areas) extensively several times each day
  • Must possess and maintain a valid driver’s license and adequate car insurance

EDUCATIONAL/TECHNICAL REQUIREMENTS

  • High school diploma or higher level of education
  • Above-average telephone and communication skills including the ability to communicate clearly and professionally in English at a fluent level in both written and verbal form with residents, co-workers, and vendors
  • Professional level math skills including the ability to calculate pro-rations, bank deposits, timekeeping records, etc.
  • Must have reliable transportation in order to conduct market surveys, make bank deposits, attend training/meetings, visit area business / deliver marketing materials, procure supplies for community functions, etc.
  • Proficiency working with standard office equipment including computer, MS Office suite (Excel, Word, Outlook), calculator, fax machine, and electronic scanner
  • Entrata or comparable property management software proficiency a plus

NORMAL WORKING HOURS and DAYS:

  • 35-40 hours per week. Schedule varies by property but evening and weekend shifts are required. 1 hr meal break. Overtime as required.

Must be available for weekend, work.

PHYSICAL DEMANDS/WORKING CONDITIONS:

  • Stand and walk or sit alternatively depending on the specific needs of the day. An estimated 70% of the time is spent on feet and 30% of the time is spent sitting at a desk or in a car.

      • Perform inspections of the physical properties File maintenance, use office equipment, etc.

      • Store/Retrieve supplies and/or files, perform inspections, post notices/flags, etc.
    • Grasp/Grip/Turning
      • Open/close doors/drawers/gates, perform inspections, telephone use, put up flags, etc.
    • Finger Dexterity
      • Computer order entry, handle phone and equipment perform filing, presentation preparation, etc.
    • Writing/Typing
      • Document inspection results, complete reports, communicate with others, etc.
  • Constant need (66% to 100% of the time) to perform standing and walking activities both indoors and outdoors-related to inspecting the property.
  • Lifting/carrying (paperwork, files, computer equipment, and accessories, etc.):
    • Over 25 lbs.
      • Rare need (less than 1% of the time)
    • 20-25 lbs.
      • Occasional need (1% to 33% of the time)
    • Less than 20 lbs.
      • Frequent need (33% to 66% of the time)
    • Under 10 lbs.
      • Constant need (66% to 100% of the time)

VISION REQUIREMENTS:

  • Constant need (66% – 100% of the time) to complete forms, read and review reports and a wide variety of correspondence, view the computer screen. Frequent need to see small detail when performing routine duties.
  • Frequent need (33% to 66% of the time) to see things clearly beyond arm’s reach (inspecting property, neighborhood surveys).

HEARING REQUIREMENTS:

  • Constant need (66% to 100% of the time) to communicate over the telephone and in-person with property owners, corporate and resident management, vendors, residents.

SPEAKING REQUIREMENTS:

  • Constant need (66% to 100% of the time) to verbally communicate over the telephone and in person.

DRIVING / TRAVELING REQUIREMENTS:

  • Constant need (66% to 100% of the time) to utilize personal transportation to inspect commercial properties, visit the corporate office.
  • Must have valid driver’s license and automobile insurance coverage in accordance with Company guidelines.

WORKING ENVIRONMENT:

Indoors (66% to 100% of the time);

Outdoors (33% – 66% of the time), all conditions

Occasional exposure (less than 33% of the time) to paint fumes, solvents, adhesives, electrical shock, etc.
