The purpose of this job description is to communicate the responsibilities and duties associated with the position of LEASING SPECIALIST – CONVENTIONAL HOUSING. JOB SUMMARY:The LEASING SPECIALISTS – CONVENTIONAL HOUSING are the property’s sales team whose primary duties are to properly secure lease agreements from all qualified persons and aggressively market the property in order to achieve leasing and occupancy goals. A LEASING SPECIALIST – CONVENTIONAL HOUSING is also very service-oriented and strives to make current residents feel welcome and comfortable in their community. The LEASING SPECIALIST – CONVENTIONAL HOUSING will contact a person of authority should any situation warrant an action or decision not included in his or her duties and responsibilities.

WAGE/HOUR STATUSNon-Exempt (eligible for overtime)

DUTIES AND RESPONSIBILITIESConducts all business in accordance with company policies and procedures, Fair Housing laws, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to multifamily housing.

Marketing/Leasing

  • Greets prospective residents, completes guest card information, establishes program eligibility, determines needs and preferences, conducts sales tours of the community and specific apartments while communicating features and benefits and secures applications from qualified persons. Meets individual and/or property monthly leasing goals.
  • Secures an average of one application per shift from qualified persons.
  • Maintains awareness of local market conditions, competitors and trends through active market surveys and physically shopping the properties competition.
  • Assists in creating and implementing a plan for marketing the property and improving resident satisfaction.
  • Aggressively markets the property on a regular basis to generate traffic.
  • Inspects models, move-ins and “market ready” vacancies daily to ensure move-in ready condition. Also physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff.
  • Maintains a professional and friendly atmosphere in the leasing office and other areas where prospects and residents meet.
  • Utilizes multiple media platforms, including but not limited to telephone, text, email and social media, etc. to perform follow-up with prospects in accordance with company guidelines.
  • Prepares and qualifies applications for approval based on properties rental criteria and program requirements.

Renewal Process

  • Monitor upcoming resident renewals on a monthly
  • Responsible for contacting residents to schedule renewal
  • Work with resident to complete all renewal documentation in a timely and accurate
  • Works with the resident and third parties to verify sources of income for the resident (if applicable).

  • Forwards all completed renewal documentation to the appropriate person in a timely fashion for review and approval if applicable on their

Administrative

  • Notifies prospective residents of application results.
  • Establish move in date and time for approved applications.
  • Completes all lease paperwork including related addenda and accepts rents and deposits.
  • Organizes and files appropriate reports, leases and paperwork.
  • Attends company meetings when requested.
  • Prepares maintenance service requests.
  • Assists in preparing newsletter and renewal lease letters.
  • Photocopies daily paperwork and files documents.
  • Prepares and completes move-in files.
  • Assists Property Manager and Assistant Property Manager in preparation of daily and weekly reports, resident communications, move-out inventory, market surveys, etc.
  • Answers incoming phone calls and handles each call accordingly. Transfers calls to Assistant Property Manager or Property Manager when appropriate.
  • Performs any additional duties assigned by the Assistant Property Manager, Property Manager or Regional Director.

  • Enjoys some competition among other leasing consultants and likes being recognized for their successes.
  • Creates and maintains relationships in the community to promote the business and generate leads though the use of social media, word of mouth, and partnering with preferred businesses.

  • Shows a good command of technology, and effectively uses software products, email and social media to generate and follow up on leads.

EDUCATION/TRAINING

  • High school diploma or equivalent
  • National Apartment Leasing Professional (NALP)

Computer Skills: Word Processing software experience required. Spreadsheet software, property management software, Internet experience desirable.

Office Equipment: Personal computer,Calculator, Copy Machine, Fax Machine, Telephone.

Work Hours: 20-40 hours per week depending on whether a full or part-time employee. Employee will be required to work a flexible work week including weekends.
