Reports To: PROPERTY MANAGER

JOB SUMMARY

The LEASING SPECIALISTS are the property’s sales team whose primary duties are to properly secure lease agreements from all qualified persons and aggressively market the property in order to achieve leasing and occupancy goals. A LEASING SPECIALIST is also very service-oriented and strives to make current residents feel welcome and comfortable in their community. The LEASING SPECIALIST will contact a person of authority should any situation warrant an action or decision not included in his or her duties and responsibilities.

DUTIES AND RESPONSIBILITIES

Conducts all business in accordance with company policies and procedures, Fair Housing laws, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to multifamily housing.

Marketing/Leasing

  • Secures an average of one application per shift from qualified persons to achieve leasing and occupancy goals.
  • Aggressively markets the property on a regular basis to generate traffic to meet leasing goals.
  • Inspects models, move-ins and “market ready” vacancies daily to ensure move-in ready condition.
  • Maintains a professional and friendly atmosphere in the leasing office and other areas where prospective residents and residents meet.
  • Prepares and qualifies applicants for manager’s approval based on properties rental criteria.
  • Telephones previous guests who visited the Follows procedures in manual according to policy.
  • Performs follow-up procedure with prospects in accordance with policy.
  • Conducts sales tours with prospective residents through community in accordance with procedure.
  • Answers incoming phone calls and handles each call Transfers calls to Assistant Property Manager or Property Manager when appropriate.
  • Greets prospective residents, qualifies, determines needs and preferences professionally, presents community and specific apartments while communicating features and benefits and closes on the lease.
  • Maintains awareness of local market conditions, competitors and trends.
  • Creates and implements plan for marketing the property and for improving resident satisfaction with approval from Property Manager

Renewal/Recertification Process

  • Monitor upcoming resident renewals/re-certifications on a monthly basis.
  • Responsible for completing resident worksheets for upcoming 30, 60, 90 day timeframes.
  • Responsible for contacting residents to schedule renewal/recertification appointments
  • Work with resident to complete all renewal/recertification documentation in a timely and accurate fashion.
  • Works with the resident and third parties to verify sources of income for the resident (if applicable).
  • Completes all state documentation for each renewal/recertification.
  • Forwards all completed renewal/recertification documentation to the Compliance Department in a timely fashion for review and approval if applicable on their property (Affordable Properties)
  • Reviews prior year files while preparing recertification in order to verify reasonability and compliance (Affordable Properties).

Administrative

  • Correctly completes all lease applications, assists with application verification and notifies prospective residents of Prepares miscellaneous resident communication as needed.
  • Completes all lease paperwork including related addenda and accepts rents and deposits.
  • Completes Guest Card information form on all prospective residents, sends thank-you notes and performs follow-up.
  • Physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff.
  • Organizes and files appropriate reports, leases and paperwork.
  • Attends company meetings when requested.
  • Prepares maintenance service requests.
  • Assists in preparing newsletter and renewal lease letters.
  • Photocopies daily paperwork and files documents
  • Prepares and completes move-in files
  • Assists Property Manager and Assistant Property Manager in preparation of daily and weekly reports, resident communications, move-out inventory, market surveys, etc.

General

  • The primary duties of the LEASING SPECIALIST are to properly secure lease agreements from all qualified persons and aggressively market the property in order to achieve leasing and occupancy goals
  • Performs any additional duties assigned by the Assistant Property Manager, Property Manager or Regional

QUALIFICATIONS

Position requires good leasing and closing skills, and the person must be able to type 30 WPM and be organized. Computer Skills : _ Word Processing software experience required. Spreadsheet software, property management software, Internet experience desirable. *_OfficeEquipment * : Personal computer, Calculator, Copy Machine, Fax Machine, Telephone.

EDUCATION / TRAINING

  • High school diploma or equivalent required
  • National Apartment Leasing Professional (NALP) desired.

DRIVING/TRAVELING REQUIREMENTS

  • Occasional need (1% to 33% of the time) to utilize personal transportation to inspect apartment property and surrounding neighborhood, make trips to the bank and also visit the corporate office.
  • Must have valid driver’s license and automobile insurance.

SAFETY RESPONSIBILITIES

  • Learns and complies with all company safety rules.
  • Uses appropriate safety equipment at all times
  • Immediately reports all unsafe conditions to supervisors
  • Must be familiar with all safety features or equipment, machinery, or materials encompassed by job duties
  • Must check with supervisor if there is a question as to the safe procedure to be used for any job function
  • Takes the monthly safety course as assigned.
