· Perform a broad range of administrative and clerical support for attorneys and others as assigned.
· Demonstrate ability in efficient support of a larger group of timekeepers and administrative staff.
· Drafting and analyzing discovery responses and analysis of legal pleadings, edits, and proofreading skills for of a variety of documents, i.e., general correspondence, contract agreements and timeline spreadsheets and databases.
· Manage complex document production for construction defect litigation cases.
· Files documents electronically with various state courts and municipalities, retrieve court dockets from online databases.
- Delegates/inputs time entry, tracks WIP, reviews and edits pre-bills for submission to Accounting.
- When delegating, maintains responsibility for and tracks all activities/tasks/projects to successful completion.
- Maintain calendars to include coordination and scheduling meetings, depositions, conference calls, manages Outlook calendar invites and reminders, reserves conference rooms/off-site venues and visitor offices, tracks deadlines and status of cases/matters, virtual hearings and court deadlines.
- Coordinate travel arrangements.
- Work with Accounting on intake to request new files, client/matter numbers, and assist with the conflicts process. Works with other assistants to consolidate and organize files at the close of the matter.
- Answer telephones monthly to assist Receptionist. Provide follow up and interaction with clients, outside counsel and other parties.
- Maintain and update contact lists, create labels from lists and coordinates mailings as directed by timekeepers.
- Retrieve information from various online resources and Federal, State and County databases.
- Assists timekeepers with administrative tasks related to attorney compliance requirements and professional organizations.
- Other duties as assigned by office management.
- Must be able to lift and carry up to 20 lbs. of files.
- Maintain confidential information in a professional and trustworthy manner.
Legal support for one Partner and one associate attorney. Responsible for a large case load; drafting, editing and finalizing pleadings, contracts, settlement agreements, correspondence; e-filing in both state and federal courts; prepare cases to be arbitrated with the American Arbitration Association; prepare out of state subpoenas; attorney time entry in TABS3 billing software; travel arrangements; reimbursements; file maintenance; responsive document production; document review; exhibit preparation; monitor attorney CLE credits and input into the Florida Bar website; client contact; schedule mediations, hearings, depositions and meetings; maintain file status spreadsheets; assist with real estate closings; light estate planning tasks; and other duties as requested.
