Description/Job Summary

Performs administrative support tasks for all members of the Signode Industrial Group legal department and has a working knowledge of their duties. Responsibilities include a broad range of duties involving confidential or technical information, such as compiling reports, creating detailed presentations, scheduling meetings and preparing agendas, responding to correspondence, researching background material, routing calls and other communications or legal documents, making travel and meeting arrangements, preparing and filing expense reports, and managing, updating and modifying the legal department’s Sharepoint sites and shared drives. Requires software proficiency and ability to learn new software, internet research skills, excellent interpersonal skills, sense of urgency and the ability to work well with all levels of company management and staff.
Responsibilities/Duties
Manage all administrative tasks and details for legal department team members as assigned
Assist with setting up and overseeing administrative policies and procedures for legal department
Review operating practices and procedures in order to determine whether improvements can be made in areas such asworkflow, procedures, or expendituresManage, update, modify, and expand the legal department’s Sharepoint sites and shared drives
Manage and maintain schedules, make travel arrangements, and prepare and file expense reports
Manage Legal Billing
Manage Legal Reports
Schedule and oversee events, visits, meetings, etc.
Create, develop, review or edit presentations, reports, agendas, memos, letters, and other documents, usingword processing, spreadsheet, database, and/or presentation software
Required Skills
3-5 years Administrative Assistant experience, preferably supporting legal professional(s)
Excellent communication (oral/written) and interpersonal skills
Proficient in Microsoft Word, Excel, PowerPoint, Sharepoint and Outlook
Experience generating reports, presentations, and managing data in spreadsheets and databases
Experience handling law firm billing
Must become familiar with complex corporate structure in order to properly review and route necessary legal documents
Experience managing travel and event planning: experience with international travel arrangements including passports, visas, etc.
Provides prompt responses to requests or needs for information or assistance
Strong multi-tasking and prioritization skills
Demonstrated organizational/project management skills; proven problem solving, decision making and interpersonal skills with experience providing complex, confidential administrative support
