Our Legal department is seeking a motivated detail-oriented individual to join our team as a Legal Assistant. Under the direct supervision of the Director of Legal Operations this position will provide administrative and secretarial support for the legal department.

JOB DUTIES

  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
  • File maintenance, organization, and updating filing systems.
  • Preparation of materials for hearings, depositions and mediations
  • Answers phones, takes messages or fields/answers all routine and non-routine questions.
  • Works independently and within a team on special nonrecurring and ongoing projects.
  • Preparing correspondence and organization and/or distribution of highly confidential and sensitive information.
  • Preparing forms and documents

REQUIRED SKILLS

  • Exceptional written and verbal communication skills.
  • Proven working experience as an administrative assistant or legal secretary.
  • Familiarity with legal procedures and protocols, or ability and desire to learn them quickly.
  • Satisfactory knowledge of day-to-day operations of a corporate office.
  • Computer Literacy, including MS Office suite and Excel.
  • Must be flexible, able to multi-task and work under pressure.
  • Excellent organizational skills.
  • Ability to work as a team member and independently handle various tasks.
  • Sound analytical mindset with an emphasis on problem solving, risk assessment, negotiation and legal skills

EDUCATION AND EXPERIENCE

Required

  • Associates degree.
  • Two years of experience in a corporate, legal, or professional business setting.

Preferred

  • Bachelor’s degree.
  • Two years of clerical experience in a legal or professional setting.

WORKING CONDITIONS AND PHYSICAL DEMANDS

  • Frequently required to sit at a desk/workstation for long period of time
  • Ability to work at a computer terminal for extended periods of time
  • Digital dexterity and hand/eye coordination in operation of office equipment
  • Light lifting and carrying of supplies, files, etc.
  • Ability to speak to and hear employees/clients via phone or in person
  • Body motor skills sufficient to enable incumbent to move around the office environment
  • Ability to analyze data and reports and make recommendations
  • Additional Mental Requirements: compare, decide, direct, problem solve, analyze, instruct, interpret
