Currently, we are seeking a Legal Assistant for our Tampa location. The ideal candidate will have relevant experience working as a Legal Assistant within a law firm. POSITION SUMMARY: The Legal Assistant is responsible for assisting the Attorneys assigned to them in the department on their day to day operations of their practice and clients. Additionally, they will assist attorneys through the performance of complex secretarial and clerical duties requiring a knowledge of legal terminology and the legal process.

DUTIES:

  • Responsible for assigned attorney(s) scheduling and heavy calendar management.
  • Handle sending out all regular mail, certified mail and Fed-Ex, etc.
  • Coordinates travel arrangements as needed.
  • Responsible for assigned attorney(s) telephones including but not limited to promotional calls, taking messages for attorney(s) and forwarding via email.
  • Handle all Incoming Mail for assigned Attorneys.
  • Input of attorneys CLE Credits with Florida Bar.
  • Responsible for database management (Tampa Interaction).
  • Assist with conflicts, new client packages, file opening and closing.
  • Digital Dictation: letters, memos, amendments, mechanic lien packages, addendums, covenant enforcement letters, general contracts and the like. Ability to edit/correct documents and finalize for processing (whether via email, fed-ex, fax or mail).
  • Enter billing time in Aderant for assigned attorney(s). General accounting duties.
  • Process Attorney(s) Expense Reports.
  • Responsible for filing of documents/emails in the attorney’s TBF (to be filed) folder in Matter Centricity.
  • Able to perform corporate searches and work around the State and DBPR website.
  • Assist with presentations and special engagements.
  • Assist with preparation of form(s) if client wants us to be Registered Agents or remove us as Registered Agents.
  • Any and all other duties as may be required of the job.

REQUIREMENTS:

The Legal Assistant shall possess a minimum of seven years’ experience and a bachelor’s degree, or a minimum of ten years’ experience, as a legal assistant. Ideal candidate must have excellent administrative and organizational skills, strong command of grammar, spelling and punctuation as well as real estate experience. In addition, they must be computer savvy to include but not limited to word-processing, Excel, presentation software, ability to organize files and workflow. Excellent customer/client relations in addition to customer service skills is a must.

Pay: $46,000.00 – $56,000.00 per year
