LEGAL ASSISTANT II

Summary

The legal assistant II will provide intermediate to advanced administrative and clerical support to the litigation attorney by preparing documents such as pleadings and correspondence; managing case files from referral through post judgment; managing the attorney’s calendar, including scheduling hearings and depositions; and organizing and managing case files.

Primary Duties and Responsibilities

Document Processing and Production

§ Draft and assist in drafting basic to intermediate correspondence, legal documents and pleadings such as complaints, summonses, subpoenas, motions and briefs

§ Proofread documents for proper spelling, grammar, and compliance with court rules and judge’s requirements

§ Process incoming and outgoing mail; file documents with the court

§ Scan, copy and organize documents and index pleadings in case files

§ Review and proofread monthly billing and ensure accuracy of final bills

Case File Management

§ Monitor the activities and deadlines of case files, advise attorney of same and perform tasks necessary to ensure deadlines are met

§ Enter notes, deadlines and tasks in case management database and keep notes current

§ Prioritizes work appropriately based on needs of attorney and case deadlines

§ Assist attorney in preparation for meetings, depositions, hearings and trials by drafting orders, making copies of documents or exhibits, and organizing files

§ Organize case files (paper and electronic) and keep files current

Scheduling

§ Maintain attorney’s calendar and keep hearings and appointments current

§ Schedule appointments, hearings and depositions and arrange for court reporters and travel as necessary

§ Maintain and routinely update appointments in case management database

Communication

§ Communicate with attorney regarding case files and workload; keep attorney informed of all-important matters and deadlines

§ Communicate with clients, court clerks, opposing counsel, judicial assistants, etc. by e-mail, telephone, or correspondence

Special Projects

§ Assist other paralegals or legal assistants with heavy workload, cases or special projects.

Education & Experience

  • HS Diploma or equivalent
  • Minimum of two years legal experience, preferably in commercial litigation

Knowledge, Skills & Abilities

Computers and Software – Intermediate knowledge of commonly used business software programs including Microsoft Word, Excel and Outlook; Corel WordPerfect; PDF files and electronic documents; Windows operating system and common PC computing tasks. Strong keyboarding skills in support of high volume data entry.

  • Client and Personal Service – Knowledge of principles and processes for providing client and personal service. This includes client needs assessment, meeting quality standards for services, and evaluation of client satisfaction.
  • Legal Procedures – Considerable knowledge of court procedures and knowledge of clerk and judge requirements or knowledge of how to obtain that information.
  • Critical Thinking/Problem-solving – Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. Identify problems and review information to develop and evaluate options.
  • Accuracy – Ability to perform work with speed and correctness. Ability to proofread own or other’s work and detect and correct errors.
  • Detail Orientation – Ability to pay attention to fine details in order to produce high quality work. For example, paying very close attention to make sure that processes have been followed as they should be.
  • Communication – Ability to communicate effectively with subordinates, peers, clients and vendors, verbally and in writing. Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Clerical/Administration – Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Planning/Organization – Ability to plan and organize work for self and others. Plans and coordinates workflow of assigned tasks. Effective organization and time management skills. Ability to multi-task in order to manage the calendaring process. Able to work independently and manage work tasks within established timelines.
  • Deadline Compliance – Ability to work under strict timeline requirements and pressure.
  • Math / Analysis – Ability to perform basic mathematical calculations and analysis to determine accuracy and appropriateness of data.
