Position Summary
The Legal Office Administrator provides support for managing shareholder & other attorneys, including calendar management and successful coordination of business meetings. They exercise independent judgment in the resolution of administrative problems. They prioritize and manage multiple projects simultaneously with little or no supervision.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
· Handling incoming and outgoing phone calls for two law firms; routing incoming calls to appropriate party quickly and efficiently.
· Handling some of the electronic communications for the managing shareholder.
· Managing attorneys’ calendar, requiring interaction with attorneys, clients & prospects, and outside assistants to schedule client meetings and prospect consultations.
· Using various software applications such as Microsoft Office 365, SharePoint, spreadsheets, relational databases. Knowledge of Salesforce helpful.
· Maintaining highest level of confidentiality
· Maintaining the physical client and vendor files
· Exercising administrative judgment; assuming responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
· Ordering of office supplies, food & beverages
· Assisting with special events planning as needed
· Performing other duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
· High School Graduate, Associate degree preferred
· Five years to ten years of experience as an office manager or administrative assistant in a legal and or corporate level
· Working knowledge of Microsoft Office and CRM databases
· Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the managing shareholder and the company to outside parties
· Excellent interpersonal, oral, and written communication skills
Excellent writing, proofreading, and editing skills
