Job Description

The Bell Henderson Team is a top-producing real estate team with Keller Williams South Tampa who is seeking a highly organized & detail-oriented individual with a can-do attitude to join our team! As the Listing & Closing Manager, your role will be crucial to the success of the business, and the ideal candidate will enjoy working “behind the scenes” to assist our agents as part of the operations staff. 

In this role, you’ll work to prepare real estate listings by gathering & inputting data, coordinating vendors (photographers, stagers, etc), and managing all paperwork and related legal compliance. Once homes are under contract, you’ll maintain contract files, track deadlines & ensure a smooth 5-star client experience! You’ll act as a primary point of contact for clients and must be a great communicator! The operations team works in harmony with our agents, taking care of the administrative aspects of transactions so that they can focus on driving more business. 

A successful candidate will be patient yet able to work with a strong sense of urgency, but not at the expense of quality. They will implement and help to constantly improve project management systems as well as assist in coordinating client events and other marketing projects as needed. This role is perfect for the individual who prefers structure and enjoys checking items off their to-do list daily! 

Working Location

Compensation:

• Base salary: $40,000 – $45,000

Responsibilities:
• Coordinating listing activities, including inputting listings in the Multiple Listing Service (MLS) system, preparing marketing & open house materials, managing sign and lockbox inventories
• Preparing legal documents and maintaining highly organized project files 
• Serving as a main point of communication for real estate agents, clients, title companies, mortgage brokers, etc, during the process of a transaction
• Reviewing contracts and following compliance procedures
• Implement and improve systems for the listing and closing processes
• Attend on-site photoshoots, showings & inspections upon request 
• Coordinate vendors as needed (photographer, stager, contractors, etc)  
• Prioritizing issues and directing phone calls to the correct team member
• Handle additional administrative tasks upon request to ensure agents can focus on income-generating activities
• Manage, take initiative, and take ownership of systems and task completion
• Assist agents in preparing for client appointments
• Participate in weekly accountability meetings with the direct supervisor
• Prepare and distribute weekly status reports to active clients 
• Foster customer loyalty/referrals through high-quality & genuine client interactions
• Deliver a five-star client experience through communication and the use of detailed systems 
• Assist with client database management 
• Other tasks upon request

Qualifications:
• Excellent written, verbal, and interpersonal communication skills 
• Highly organized & able to manage multiple projects at once 
• Detail-oriented and able to complete tasks quickly with a high level of accuracy
• Ability to keep deadlines & handle confidential information
• Capable of prioritizing tasks and managing time effectively
• Reliable and able to follow through on assigned tasks with minimal oversight 
• Able to take initiative in anticipation of agent & client needs
• Strong critical thinker with a solution-oriented mindset 
• Team player with a positive, can-do attitude
• Understanding of basic office software & calendaring systems (Google Suite, Zoom, etc) 
• Access to reliable transportation as this role requires client/site visits & regular errands
• Two years of administrative/executive assistant experience 
• History of success in a service-oriented environment
• Track record of follow-through & reliability 
• Bachelor’s degree or associates (preferred) 
• Real estate experience (preferred)
