As The Rutherford Group’s Transaction Coordinator, you’ll take a lead role in coordinating real estate transactions. You will manage the entire contract-to-close process efficiently and effectively to ensure all transactions close on time, ensuring that all the details come together seamlessly from contract to close, with little or no hassle to clients and third parties, while providing exceptional customer service.

You Will:

  • Act as liaison between real estate agents, clients, attorneys, escrow companies, and mortgage brokers, other TCs, etc. during the process of a real estate sale and effectively manage the administrative tasks involved in closing a sale
  • Understand the contracts in order to summarize all important terms, conditions, and contingency dates
  • Create timelines and follow up with individuals as needed to ensure all deadlines are met and contingencies are released
  • Maintain accurate and compliant files for all transactions
  • Contact the agents multiple times throughout the transaction, to communicate all important dates, needful negotiations, missing documents, calendar reminders, file compliance status, etc.
  • Communicate regularly with clients to answer questions, send reminders, check in, and set expectations in each step of the closing process
  • Coordinate and communicate closing date, time, and location to all involved parties
  • Draft a commission statement for all closings and verify commissions for transactions prior to closing
  • Perform other duties as assigned
  • Responsible for minimum of once-a-week communication with sellers to include marketing progress reports and feedback from showings.
  • Maintains a cool and calm demeanor when resolving issues and communicating with agents and clients, via video, email, phone, text and customer relationship management tools
  • Responsible for keeping the Director of Operations and Listing Agents updated on the progress of all seller contracts and advising when they need to become involved in problem resolution.
  • Supports the Listing Agents by preparing CMA’s and Seller Net Sheets, updating the contact database as needed, preparing pre-listing packages and listing agreement documentation.
  • Is responsible for maintaining all files and listing contracts within brokerage compliance at all times.
  • Smoothly coordinates with sellers on arranging staging, photography, videography, signage, access to the property, lockbox installation and gathering information about the upgrades, value and benefits of the property.
  • Works with associations, communities and the county to gather any information needed to properly market the property for sale.
  • Enters the property information in the Stellar Multiple Listing Service.
  • Creates a marketing plan for each property, working closely with the Director of Marketing, to include videos, flyers, social media advertising, open houses and any other system as requested by the Listing Agent.
  • Accurately reports marketing success and buyer feedback to the Listing Agent weekly.
  • Is responsible for smooth transition of seller files to Transaction Coordinator to ensure that exceptional service continues.

You Are:

  • Experienced as a Transaction Coordinator/Listing Manager (min. of 1 year)
  • Solutions-based and able to proactively research and solve issues as they arise
  • Analytical, with the ability to gather and summarize data for reports and find solutions to various administrative problems
  • Experienced in processing Real Estate transactions
  • Must possess traits including: high values and ethics, can-do attitude, expert communicator, self-motivated and efficiency-minded, detail-oriented, strong organizational skills and professional demeanor.
  • Accountable for the customer experience, with excellent communication skills, conveying professionalism, integrity and leadership
  • Cool and calm when resolving issues and communicating with agents and clients, via text, email, phone and customer relationship management tools
  • Someone who will own the management of The Rutherford Group listings and will carefully monitor marketing and timelines, notifying the Listing Agent of any concerns, feedback, change in market conditions, new competition and challenges to getting the property sold.
  • Excels at meeting deadlines and exceeding client’s expectations.
  • Superb written and verbal communication skills
  • Proficient in Google Suite Tools: Sheets, Docs, Gmail, MS Office applications (Outlook, Excel, Word) and Contact Management Systems Experience
  • 2+ years Real Estate Contract Experience
  • Have an active Florida real estate license or the willingness to obtain one in 90 days
  • Exceptional organizational and project management skills with the ability to prioritize tasks

Pay Range
$38K-$42K/year
